Job summary

RFS Business Solutions (Startup) invites a hands-on Head of AI & Automation to lead technical operations, design and build client AI solutions, and manage a team of engineers. The role oversees architecture, tooling choices, security, and scalable delivery for international projects.

You will recruit and mentor engineers, establish SOPs, review code/workflows, and ensure robust production-grade systems. Based in Kolkata, full-time office work with global clients.

Qualifications

• 7+ years in software engineering or automation with AI/LLM experience.
• Hands-on experience with n8n, Make and/or Zapier.
• Excellent REST API, webhooks, OAuth, error handling, and integrations.
• Experience with OpenAI, Anthropic, Google Gemini or similar LLMs.
• Experience building AI voice agents using VAPI, Retell AI, ElevenLabs or Twilio.
• Strong Python or JavaScript/TypeScript, Git, SQL, and at least one vector DB.
• Experience with cloud providers (AWS/GCP/Azure) and CRM automation.
• Leadership: lead engineers, review work, ensure delivery and quality.

Responsibilities

• Design end-to-end AI automation solutions, including workflows, APIs, data flow, AI models, and human approvals.
• Build automations using n8n, Make, Zapier and custom code; develop AI agents and LLM apps.

We are looking for a hands-on Head of AI & Automation to lead our technical operations, design and build client solutions, manage a team of engineers, and establish the technical standards needed to scale our AI business.

Key Responsibilities

1. Technical Leadership & Architecture

• Design end-to-end AI automation solutions, including workflows, APIs, data flow, AI models, and human approval processes.
• Select the right tools, platforms, and infrastructure based on project requirements, cost, reliability, and security.
• Build and troubleshoot complex automations, API integrations, LLM applications, and AI voice agents hands-on.
• Review technical designs and workflows before deployment, ensuring quality, scalability, and reliability.
• Investigate production failures, identify root causes, and implement permanent fixes.

2. AI Development & Deployment

• Build automations using n8n, Make, Zapier, and custom code.
• Develop AI agents, voice agents, CRM integrations, and LLM-powered applications.
• Manage deployment, testing, monitoring, error handling, and ongoing maintenance.
• Create reusable workflows, templates, prompts, and code components to speed up delivery.
• Optimize AI model selection, API usage, response times, and operating costs.

3. Team & Project Management

• Recruit, train, mentor, and manage AI developers and automation engineers.
• Assign tasks, review code and workflows, track delivery, and maintain technical quality standards.
• Establish development SOPs, documentation practices, testing procedures, and deployment guidelines.
• Ensure every client solution is properly documented and can be maintained by multiple team members.

4. Client Communication

• Work directly with international clients to understand business requirements and technical challenges.
• Prepare solution designs, project scopes, timelines, estimates, and demonstrations.
• Explain technical concepts in simple language and set realistic expectations.
• Identify technical risks and recommend practical solutions before development begins.

5. Security & Infrastructure

• Manage cloud deployments, server infrastructure, credentials, access permissions, and backups.
• Implement secure API integrations, MFA, least-privilege access, and appropriate data protection.
• Protect AI systems against prompt injection, data leakage, unauthorized actions, and excessive API costs.
• Establish monitoring, alerts, incident-response procedures, and recovery plans.

Mandatory Requirements

• 7+ years in software engineering, integration engineering, or automation, including 2+ years building production AI or LLM-powered systems.
• Strong hands-on experience with n8n, plus working knowledge of Make and/or Zapier.
• Excellent knowledge of REST APIs, webhooks, OAuth, error handling, and system integrations.
• Experience with OpenAI, Anthropic, Google Gemini, or similar LLM platforms.
• Practical experience building AI voice agents using Vapi, Retell AI, ElevenLabs, or Twilio.
• Strong proficiency in Python or JavaScript/TypeScript, Git, SQL, and at least one vector database.
• Experience with AWS, Google Cloud, or Azure, including deployment and infrastructure management.
• Experience with CRM automation using HubSpot, GoHighLevel, Salesforce, Pipedrive, or Zoho.
• Knowledge of RAG systems, prompt engineering, AI evaluation, cost optimization, and AI security.
• Proven ability to lead engineers, review technical work, and manage project delivery.
• Excellent English communication, troubleshooting, and documentation skills.
