Job description

Key Responsibilities
  • Provide finance, accounting and controls support to (Client) by ensuring
    • Accurate and prompt processing/reporting
    • Compliance with controls calendar activities and follow up on issues as appropriate; ensure audit gaps closure is sustained and to develop / participate in UIA as appropriate
    • Understands and complies with applicable OIMS, SSHE, CIMS and other corporate requirements
  • Support CBRE accounting, procure to pay and other activities as appropriate
CLIENT FINANCIAL STEWARDSHIP
  • 1. Provide accounting support and guidance ensuring compliance with CLIENT controls and accounting practices. Support includes work order stewardship, cost tracking, periodical accrual process of CLIENT facility business areas, Business Unit charging and allocation, cost tracking and forecasting, etc.
  • 2. Analyse reports and records, making recommendations relative to the accounting of reserves, assets, and expenditures.
  • 3. Analyse and explain noted variances vs Plan in the various stewardship reports
  • 4. Prepare monthly and quarterly reports for global, regional and local requirements (eg. operating expenses, capital expenses, workforce, WSC reporting).
  • 5. Prepare month-end accounting entries to ensure costs are properly captured in the correct accounting period
  • 6. Prepare annual Plan and Forecast and other reporting as assigned
  • 7. Support Project to Assets process in SAP as needed
  • 8. Stewardship of real estate and other taxes
  • 9. Facilitates payments on behalf of the client for client-billed face approved payments (for example, electricity, building lease, carpark etc) within CLIENT DOAG guidelines
  • 10. Ensures fixed asset records accurately reflects CLIENT ownership
  • 11. Handles CLIENT’s incoming queries and requests in a timely and efficient manner so as to ensure the client’s expectations are met/exceeded.
  • 12. Assists CIMS processes, perform CIMS controls catalog testing and updates, as required
  • 13. Maintain comprehensive documentation for audit trail and compliance with corporate guidelines
  • 14. Understands and complies with applicable OIMS, SSHE, CIMS and other corporate requirements
  • 15. Performs other duties as assigned
CLIENT CONTROLS STEWARDSHIP
  • 1. Ensures all client-funded jobs (Client and E&PS work orders) are supported with an approved SAP PO before works proceed
  • 2. Coordinates and ensures monthly, quarterly and annual Controls Calendar deliverables are complied with by the team as they are due
  • 3. Coordinates annual Independent Fixed Asset Verification process as initiated by the client’s Regional Fixed Assets Team
  • 4. Provides site custody to CLIENT owned assets and art-work, facilitates location move and disposition as necessary
  • 5. Coordinates client internal audit and unit internal assessment or audit activities (UIA), ensures data requests are provided as well as tracks timely closure of UIA gaps
  • 6. Ensures Management Protection of Information (MPI) Physical Inspection compliance checks are conducted on annual basis
  • 7. Performs other duties as assigned
CBRE FINANCIAL STEWARDSHIP
  • 1. CBRE month end closing activities, flash reporting, monthly P&L performance analysis, budgeting and forecasting
  • 2. Ensure no work without CBRE Purchase order
  • 3. Create Purchase order to CBRE suppliers in COUPA system
  • 4. Suppliers submitted correct invoice in COUPA/JDE
  • 5. Supplier submitted invoice completed GRN correctly in COUPA/JDE
  • 6. Ensure RRF/Quote/Quote terms and condition/Alternative Quotes
  • 7. Download PO and share with PO requestor
  • 8. CBRE Supplier related documents saved in corrected folder
  • 9. Review monthly Procure to Pay related reports and submitted to the management
  • 10. Manage account receivable and ensure all the due invoices payment received on or before due date
  • 11. Create CBRE Invoice in PeopleSoft
  • 12. Submit CBRE Invoices to Client with respective format/documentation
  • 13. Create Service entry Sheet in Client SAP system
  • 14. Co-ordinate with Client for CBRE Invoice acceptance
  • 15. Timely invoicing < 90 days/ notification to Budapest Biz Enablement Team if vendor invoices are expected to be late
  • 12. No consecutive months of invoicing errors, invoicing accuracy < 1%
  • 13. FI master list is accurate and properly/promptly endorsed by CLIENT for all revisions during the year and the and the annual list for the following year
  • 14. FI master list payments are processed within approved limits
  • 15. FI master list expenses are coded to the correct EM GL account
  • 16. Monitor, track and follow up on settlement of CBRE invoices and ensure no receivables are aged > 90 days
  • 17. Where performed by Finance Team, ensure prompt issuance of CBRE PO to vendors and performance of goods receipt
  • 18. Ensure prompt submission of invoices to Coupa inbox (DXC) and follow up on referrals, omitted invoices etc to maintain data integrity in JDE
  • 19. Ensure CBRE vendors are paid promptly when invoices are due
