Role Overview
We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to senior leadership. The ideal candidate will play a critical role in ensuring smooth day‑to‑day operations by managing executive calendars, coordinating logistics, and acting as a reliable point of contact for internal and external stakeholders. This role requires strong judgment, discretion, and the ability to thrive in a fast‑paced, dynamic environment.
Key Responsibilities
- Manage and maintain complex executive calendars, including scheduling meetings, appointments, and events across multiple time zones.
- Prioritize and optimize calendar commitments to ensure effective time management for leadership.
- Proactively anticipate scheduling conflicts and resolve them efficiently.
- Prepare daily, weekly, and monthly schedules and provide timely reminders and updates.
Stakeholder Management
- Serve as a primary liaison between executives and internal teams, clients, partners, and external stakeholders.
- Coordinate communication, follow‑ups, and information flow to ensure timely responses and alignment.
- Build strong working relationships with key stakeholders while maintaining professionalism and confidentiality.
- Screen calls, emails, and requests, exercising sound judgment to prioritize matters requiring executive attention.
Logistics Management
- Plan and coordinate logistics for meetings, leadership reviews, offsites, and business events.
- Arrange domestic and international travel, including flights, accommodation, transportation, and itineraries.
- Manage meeting logistics such as agendas, presentation materials, conference room setup, and virtual meeting tools.
- Track expenses, prepare reimbursement documentation, and support budget‑related coordination where required.
Administrative & Office Support
- Prepare, format, and edit documents, presentations, and reports using MS Office tools.
- Maintain organized digital and physical filing systems for easy access and retrieval.
- Support ad‑hoc administrative tasks and special projects as assigned by leadership.
- Ensure compliance with internal processes, policies, and timelines.
Required Skills & Qualifications
- 2-4 years of experience as an Executive Assistant, Administrative Assistant, or similar support role.
- Strong expertise in Executive Calendar Management, Stakeholder Management, and Logistics Coordination.
- Proficiency in MS Office (Microsoft Outlook, Word, Excel, PowerPoint).
- Excellent verbal and written communication skills.
- High level of discretion, integrity, and professionalism in handling sensitive information.
- Strong organizational skills with the ability to multitask and manage competing priorities.
