Position Title: Event Coordinator
Department: Marketing
Location: Corporate Office / Project Sites
Reporting To: Marketing Manager / CMD Sir
Experience: 3+ years (real estate/hospitality preferred)
Role Summary
The Event Coordinator will be responsible for planning, coordinating, and executing marketing and sales events for our projects. The role ensures smooth execution of project launches, site events, channel partner meetings, customer engagement programs, and promotional activities, aligned with brand standards and business objectives.
Key Responsibilities
Event Planning & Execution
- Plan and execute project launches, site events, property showcases, and roadshows
- Coordinate customer events, channel partner meetings, and corporate presentations
- Prepare event timelines, checklists, and execution plans
Vendor & Agency Coordination
- Coordinate with event agencies, production vendors, printers, and logistics partners
- Negotiate costs, manage budgets, and ensure timely delivery
- Supervise on-ground event setup, branding, and dismantling
Marketing & Sales Coordination
- Work closely with sales and marketing teams to understand event objectives
- Ensure availability of sales collaterals, presentation materials, and giveaways
- Support lead capture, registration, and follow-up processes during events
Budgeting & Reporting
- Manage event budgets and cost tracking
- Prepare post-event reports including footfall, leads generated, and outcomes
- Ensure optimum utilization of marketing budgets
Compliance & Brand Standards
- Ensure all event communication and branding comply with RERA and company guidelines
- Maintain brand consistency across event creatives, signage, and communication
- Ensure safety, permissions, and statutory compliances for events
Key Performance Indicators (KPIs)
- Timely and successful execution of events
- Event footfall and lead generation
- Cost efficiency and budget adherence
- Sales and channel partner feedback
- Quality of execution and brand experience
Required Skills & Competencies
- Strong event planning and coordination skills
- Excellent vendor management and negotiation abilities
- Strong communication and interpersonal skills
- Ability to manage multiple events and tight timelines
- Willingness to travel and work on weekends as required
Qualifications
- Graduate in Event Management, Marketing, Hospitality, or related field
- MBA / PGDM in Marketing (preferred)
- Experience in real estate events is an advantage
