Job Objectives
To manage the day‑to‑day operations and P&L of the centre in line with the strategic plans of the centre by effective utilization of resources to ensure quality care to the patient and effective doctor engagement methodologies.
Key Functions
As a Centre Manager, you will be responsible for overseeing the daily operations of the centre, ensuring smooth workflow and adherence to all relevant protocols and regulations.
Operational Responsibilities
- Overall daily operations and administration management.
- Devise and implement action plans for achievement of financial targets of the centre.
- Floor management.
- Keep track of patients’ progress and keep referring OB‑GYN specialists informed at periodic intervals.
- Oversee IVF processes, procedures and equipment: semen/ovum collection, storage, fertilisation, implantation, etc., ensuring highest standards.
- Ensure that in cases of IVF failure the necessary formalities & policies are followed and agreed reimbursements are made.
- Ensure timely, accurate and legible documentation by consultants, doctors, RMOs, nurses, semenologist, embryologist and all parties involved in patient care.
- Maintain high standards of hygiene and cleanliness to achieve the least number of hospital‑acquired infections.
- Safeguard centre medical records and keep them available for auditing & reference.
- Maintain a database of cases referred, walk‑ins, successful bookings, reasons for failures and update it to the Medical Director.
- Maintain an efficient patient feedback and response system for timely problem resolution.
- Oversee procurement, materials management and inventory to ensure cost‑effectiveness.
- Coordinate with the Center Medical & Quality Manager to meet NABH / NABL / ISO, State / Local rules & regulations and other licensing or accrediting bodies.
- Implement and monitor quality assurance programmes to ensure patient safety and satisfaction.
- Conduct periodic clinical reviews of booking and patient satisfaction along with the team (IVF Consultants, FC and Councillor) and Medical Advisory Board; ensure timely execution of initiatives.
- Monitor centre performance in revenue & profitability against targets and take corrective steps as required.
- Reduce costs through optimisation initiatives: electricity bills, consumables, fixed & variable costs, etc.
- Ensure a medical waste management system in place according to standards.
- Ensure that ethical medical practice is followed at all times at the centre.
- Interact with patients and attendants to build lasting relationships.
- Assist and coordinate with the centre‑level sales head in establishing company brand through sales and marketing campaigns.
- Act as escalation point for all operational issues related to the facility and take suitable action in liaison with stakeholders.

- Check & maintain AMC for machines.
- Track, inform and initiate renewal process of licences, compliances and AMCs.
- Maintain records of licences, registrations and accreditation documents.
- Maintain records of clinical and non‑clinical asset records.
- Attend and conduct operational, clinical and non‑clinical meetings.
- Maintain & submit all required formats, checklists, minutes of meetings to reporting authority.
- Manual and online reporting.
- Ensure patients who had successful IVF are directed to OB‑GYN specialists for further management.
Reporting
- Do timely daily, weekly, monthly, quarterly and annual reporting as per management guidelines.
- Generate reports via Google Sheets, HIMS, manual means, email, WhatsApp, etc.
- Report on daily operational, clinical activity, business, booking, HR, assets & equipment.
Patient and Attendant Care & Management
- Patient care service.
- Ensure patient satisfaction with clinic services.
- Financial counselling of patients, especially IVF patients.
- Liaise with doctors and nurses to ensure best care.
- Address patient inquiries and concerns promptly and professionally.
- Provide patients & families with transparent information about IVF benefits, risks, formalities & procedures for both successful and failed cases.
Man Management
- Ensure proper hiring of manpower based on planning.
- Establish performance requirements and evaluate sub‑ordinates to achieve departmental goals.
- Track overall performance of the centre and report to management.
- Conduct monthly & quarterly performance rating and annual appraisal of centre staff.
- Prepare duty charts for departmental staff.
- Rotate staff duties between departments (IPD, RMO/Nurse to OPD, etc.) as needed.
- Support HR in addressing attrition and increasing employee engagement.
- Oversee duty rosters for effective manpower utilisation.
- Ensure staff are multitasking and can perform additional duties in emergency situations.
- Manage outsourced staff and ensure efficient operation of the centre.
Business Development
- Develop the centre business.
- Achieve monthly, quarterly and yearly business/booking targets.
- Convert OPD patients into bookings for various fertility treatment packages.
Event Management
- Conduct various organisational, national, social & health‑related promotional events.
- Conduct in‑house events such as the Peda event.
Monitoring & Auditing
- Oversee pharmacy physical stock audit.
- Monitor staff performance.
- Conduct performance reviews.
Training & Development
- Conduct regular training and development for staff.
- Nominate RMOs and other staff for IVF training programmes for continuous improvement.
Accreditation & Certifications
- Implement and monitor accreditation and certifications such as NABH, QAI, ISO, etc.
- Implement and monitor manuals, procedures and quality policies.
Assets Management
- CM is custodian of all medical and non‑medical assets, equipment, instruments, etc.
- Tag assets.
- Maintain proper care of all assets.
- Conduct regular asset audits to check functionality and safety.
- Perform regular maintenance of assets.
- Follow up on warranty & AMC issues with help from HO.
Financial Responsibilities
- Develop the annual budget with assistance of Finance team.
- Manage centre budget, optimise costs while maintaining quality.
- Monitor budget utilisation and analyse deviations, taking corrective action.
- Monitor revenue and expenses; identify areas for cost reduction.
- Oversee billing.
- Manage centre expenditures and reimbursements.
- Prepare financial reports for senior management.
- Ensure timely refund to patients in case of unsuccessful treatment.
Qualifications
Preferable: MBBS, BDS, BAMH or BHMS plus a Master’s degree in Healthcare Administration or a related field.
Experience
5‑6 years of relevant experience.
Language
English, Hindi and Marathi; other regional languages as required.
Gender Preference
Female.

- Preferably holding a medical degree (MBBS, BDS, BAMH, BHMS, or other).
- Master’s degree in healthcare administration, business administration or related field.
- Minimum 5 years experience in healthcare management, preferably in fertility clinic setting.
- Strong leadership and organisational skills.
- Excellent communication, interpersonal & problem‑solving skills.
- Proficiency in computer software, medical record systems and financial software.
- Proficiency in Microsoft Suite.
- Ability to multitask.
- Understanding of fertility treatments and emotional challenges faced by patients.
- Ability to establish effective working relationships across all staff levels.
- Extensive knowledge of hospital operations.
- Knowledge of administrative management principles: planning, staffing, training, budgeting and reporting.
