About the Role

We are looking for an experienced AVP – Facilities Management & Office Administration to lead the organization's workplace and administrative operations.

The role will oversee office infrastructure, facilities, administration, safety, security, vendors, assets, employee workplace experience, and operational governance. The position requires a strong leader who can build scalable processes, optimize costs, ensure business continuity, and maintain a professional and efficient workplace.

Key Responsibilities
1. Facilities & Workplace Operations
  • Lead end-to-end facilities management across corporate offices and business locations.
  • Ensure smooth functioning of electrical systems, HVAC, plumbing, housekeeping, pantry, security, access control, and other workplace services.
  • Establish preventive maintenance schedules and ensure timely resolution of infrastructure issues.
  • Oversee office expansions, renovations, fit-outs, relocations, and space optimisation.
  • Establish workplace SOPs, service standards, and operational controls.
2. Office Administration
  • Manage day-to-day office administration and workplace services.
  • Oversee seating, meeting rooms, office supplies, stationery, pantry, employee amenities, and general administrative requirements.
  • Develop streamlined processes for administrative requests and ensure timely resolution.
  • Maintain appropriate records, documentation, licences, certificates, and service agreements.
  • Manage the complete lifecycle of facility and administration vendors.
  • Evaluate and onboard service providers across housekeeping, security, maintenance, pest control, pantry, transport, AMC, and office services.
  • Define and monitor SLAs, KPIs, service quality, and contractual obligations.
  • Lead commercial negotiations, renewals, and vendor performance reviews.
  • Identify opportunities for operational and cost efficiencies.
4. Budget & Cost Control
  • Own the annual Facilities & Administration budget.
  • Monitor expenditure against approved budgets and ensure financial discipline.
  • Drive cost optimisation through effective procurement, negotiations, resource utilisation, and vendor management.
  • Provide periodic MIS and management reports on operational expenditure and key metrics.
5. Safety, Security & Compliance
  • Ensure compliance with applicable workplace, fire safety, building, and statutory requirements.
  • Conduct periodic safety inspections, fire drills, evacuation exercises, and emergency preparedness activities.
  • Oversee security operations, visitor management, access control, and workplace safety.
  • Coordinate with building management, landlords, authorities, and external agencies as required.
6. Business Continuity & Emergency Management
  • Develop and maintain emergency response and business continuity plans for workplace operations.
  • Ensure adequate contingency arrangements for critical services such as power, infrastructure, security, and essential utilities.
  • Lead coordination during workplace emergencies and operational disruptions.
7. Asset & Infrastructure Management
  • Establish systems for tracking administrative assets and workplace infrastructure.
  • Maintain records of assets, warranties, AMCs, repairs, replacements, and disposals.
  • Conduct periodic physical verification and ensure effective lifecycle management of assets.
8. Employee Workplace Experience
  • Maintain a safe, hygienic, professional, and employee-friendly workplace.
  • Work closely with HR and business teams to address workplace requirements.
  • Drive initiatives that improve office amenities, hygiene, convenience, and overall workplace experience.
  • Establish clear mechanisms for tracking and resolving facilities-related concerns.
9. Leadership & Stakeholder Management
  • Lead, mentor, and develop the Facilities & Administration team.
  • Define team KPIs, service standards, and performance expectations.
  • Partner with HR, Finance, IT, Procurement, Business, and Leadership teams on workplace requirements.
  • Act as the escalation point for critical facilities and administrative matters.
  • Present regular updates on workplace operations, costs, compliance, incidents, and key initiatives to senior management.
  • Seamless and efficient workplace operations.

Candidate Profile
  • 12–15 years of relevant experience in Facilities Management, Administration, Workplace Management, Corporate Real Estate, or related functions.
  • Experience managing corporate office facilities at scale.
  • Prior experience in a senior leadership / AVP / Head – Facilities & Administration role will be preferred.
  • Strong experience in vendor management, contract administration, budgeting, procurement, and commercial negotiations.
  • Good understanding of workplace safety, security, statutory requirements, and emergency management.
  • Proven ability to lead teams and manage multiple operational priorities.
  • Strong stakeholder management, communication, negotiation, and problem-solving skills.
  • Ability to independently manage the workplace function in a fast-paced, growth-oriented organisation.
