Job Objective

Manages the Materials function along with Materials Manager within the department by overseeing the hotel procurement and ensure best quality & rates available as per budget, pre-laid processes (Materials manual). Assists the Materials Department with a view to maximise profitability and achieves desired financial results.

Essential Job Tasks

1 - Evaluating products, price and quality. 2 - Vendor evaluations to be carried out on periodic basis. 3 - Negotiating contracts for the hotel and working out on the agreements with suppliers for product delivery. 4 - Monitoring the market rates on periodic basis

Areas of Responsibility

Budgeting and Planning

1 - Tackle requests from users in a timely fashion (Handling requisitions, Purchase orders, Receiving reports).

2 - Maintain MIS on the procurement & generate regular reports.

3 - Ensuring timely delivery of items required to avoid stockouts.

4 - Apt inventory management & control.

5 - Negotiation of rates & deliverables for the best output.

6 - New vendor & product development.

7 - Plans the import requirements in consultation with the Materials Manager.

Financials and Reporting

1 - Assists in preparing and presenting all MIS reports to develop a more informative database for improved management decision making and critical evaluation of activities.

2 - Assists in compliance with management contract and reporting requirements.

Internal Process

1 - Co-ordinates with all user departments.

2 - Follows up & liases with all vendors & service providers.

3 - Ensures contracts are made on time & ensures all High value items are included in contracts.

4 - Ensure all safety related requirements are communicated & practised. 5 - Follow Materials Manual for all requirements without deviation.

6 - Optimum usage of duty free scripts.

7 - Follows up with all vendors & conduct vendor engagement processes. 8 - Liases with various government agencies, Excise and Sales tax authorities, etc. 9 - Conducts Site visits & Hygiene Audits.

10 - Responsible for removal/ disposal of scrap in responsible manner as per rules & guidelines.

11 - Practice laid out plans for cost saving.

12 - Using E-procurement tools as decided as per the unit plan.

Audit & Statutory Compliance

1 - Assists in reviewing audit findings - Safety/Hygiene and TPAM (Taj Positive Assurance Model) and takes corrective measures to ensure full compliance.

2 - Assists in preparing the internal audit checklists as per the IHCL Safety Guidelines.

3 - Adheres to all departmental legal compliances.

4 - Ensures that the terms of the Operating agreement with Partners are duly complied with in all respects.

5 - Assists in implementing the latest amendments in commercial laws, tax structures 5 - and other developments in the financial world and ensuring that all litigations are handled diligently in line with Corporate guidelines.

6 - Assists Materials Manager in the deposition of all taxes and statutory dues in a timely manner and filing of all returns within due dates.

7 - Assists in the compliance of all statutory and internal audit procedures and implement corrective actions as brought out by the audit observations.

People

1 - Assists Materials Manager to develop departmental workforce plans, hiring schedule, interview and select candidates that demonstrate the TATA and IHCL values along with core functional expertise.

2 - Assigns buddies to new team members and monitor the progress of departmental induction

3 - Assists in identifying the developmental needs of others and coaching, mentoring, or otherwise helping others to improve their knowledge or skills

4 - Prepare department duty rosters and approves leave in consultation with the department head

5 - Assists in identifying departmental and individual training needs, develops training calendars, conducts training and recommends suitable training programs to address individual capability gaps. Participate in certification of team members in key skills. Ensures self and direct report managers attend appropriate core training classes

6 - Assists in creating a culture of recognition by actively participating in the STARS (Special Thanks and Recognition System) program

Required Qualifications

Bachelors in Commerce

Work Experience

04 - 05 years of experience

Languages Needed in Position

Should be fluent in both English, Hindi and preferably the Regional dialect.
