Aviation Recruitment | Specialist in Global Talent Acquisition | 15+ Years in Aviation Flight Operations, FBO Management & Charter Sales

Flight Crew International (FCI) is seeking a technically skilled and solutions-oriented AI Systems Integration & Automation Engineer to lead the development of our next generation of intelligent workflows and digital systems. This role will combine OpenAI integration, aviation software connectivity (e.g., Avianis by Portside), and enterprise automation across CRM, ATS, and collaboration platforms to drive operational efficiency, data intelligence, and scalability across the business.

Key Responsibilities

• I. Systems Integration & Automation

  • Design, implement, and maintain automated workflows using Zapier, Make.com, or similar tools.
  • Connect and synchronize data between CRM, ATS, email, and marketing platforms for seamless information flow.
  • Troubleshoot, optimize, and document automation logic for reliability and performance.
  • Set up and manage WhatsApp Business, including integration with JobAdder to streamline recruiter–candidate communication.
  • Build integration layers between FCI’s proprietary app, CrewLocator, and other aviation software systems through APIs and webhooks.

• II. CRM & ATS Administration

  • Administer, customize, and optimize CRM and ATS platforms such as Salesforce, HubSpot, and JobAdder.
  • Support recruitment workflows, lead tracking, and candidate placement pipelines.
  • Develop and maintain reports and dashboards to support management and business development.
  • Maintain data integrity, user permissions, and compliance across all systems.

• III. IT Security & Infrastructure

  • Implement and monitor basic cybersecurity protocols, including user authentication, data encryption, and secure sharing practices.
  • Manage user permissions, device policies, and ensure compliance with IT standards.
  • Coordinate with external IT vendors and consultants for specialized support.
  • Administer phone systems and cloud infrastructure to ensure reliability, scalability, and continuity.

• IV. Microsoft Ecosystem Management

  • Administer Microsoft 365, SharePoint, and OneDrive for document management and collaboration.
  • Establish and enforce file-organization standards, permission structures, and governance policies.
  • Support team onboarding and offboarding processes within the Microsoft environment.

• V. Data Analytics & AI Implementation

  • Build operational dashboards and data visualizations using Power BI, Google Analytics, or similar tools.
  • Explore and implement AI solutions (ChatGPT, Claude, OpenAI API) to enhance efficiency, decision-making, and automation.
  • Train and support team members on integrating AI tools into daily workflows.
  • Drive the company’s next phase of AI-driven innovation, identifying opportunities to automate, optimize, and scale processes.

• VI. Data Management

  • Lead Google Forms integration with JobAdder and other workflow tools.
  • Guide the QA Analyst on data cleanup, normalization, and consistency within JobAdder.
  • Develop and oversee a secure portal for document uploads to ensure GDPR compliance and data protection.

• VII. Web Development & Management

  • Maintain, update, and improve the company’s websites using WordPress, Webflow, or similar CMS platforms.
  • Coordinate with designers and marketing teams to ensure brand consistency and optimal user experience.
  • Manage web hosting, analytics, and performance optimization.

Qualifications

• Bachelor’s degree in Computer Science, Information Systems, or related field (or equivalent experience).
• 3+ years of experience in systems integration, automation, or API development.
• Hands‑on experience with Zapier, Make.com, or n8n workflow automation.
• Familiarity with JobAdder, Avianis/Portside, or other aviation software strongly preferred.
• Strong understanding of OpenAI API, LangChain, or similar AI frameworks.
• Experience with Microsoft 365 administration, Power BI, and cloud services (AWS, Azure, or GCP).
• Knowledge of GDPR compliance, data governance, and information security best practices.
