Job Title: Executive - Academic Coordinator

Department: Operations

Job Type: Full-time

Additional Details

Languages: Tamil, English (Mandatory)

  • Work Timings - 12 PM - 9 PM, 5.5 days/week (Rotational & Sun - half a day)
  • Work Location - WFH/ Hybrid - 3 or 4 times monthly, have to come to the office based on business needs
  • Compensation - In probation 3 LPA
  • Languages - Tamil and English
Who is a good fit?

An experienced co-ordinator who has a good understanding of the education system in India, primarily the Tamil Nadu market, wherein he/she can communicate with the parents and the team in a time-bound and effective manner. The person should be able to understand the PUMPA app and should be able to analyse the data on CRMs like ZOHO as well. The right candidate will be able to handle students questions regarding the product as well as handle parents queries and liaison with the internal teams, which include sales and L&D, to communicate the student requirements clearly.

Job Description

We are seeking a passionate, process-oriented, dynamic candidate to join PUMPA (Yaclass Tech Pvt Ltd) as Academic Co-ordinator.

Our team of academic coordinators is responsible for motivating our clients to complete their assigned tasks, handling client queries, keeping clients updated on their progress, and reporting key achievements and findings to management.

In this role, you will oversee and manage the team of academic coordinators, ensuring the smooth execution of key processes. You will act as a bridge between different departments (Mentoring, L&D, Sales, IT), ensuring alignment with company goals while maintaining high-quality communication with our clients.

Key Roles and Responsibilities (KPI)
  • Coordination/Enrolment: Oversee and manage the day-to-day operations of the Academic Coordination, ensuring efficiency and productivity.
  • Student Management: Academic Coordinators have to address challenges and resolve issues pertaining to the students and are focused on effective enrollment, coordination of batches, collecting information regarding syllabus, solving doubts of students regarding curriculum by connecting them with the right team, and conducting PTA (Parents/Teachers Meetings).
  • Process Improvement: Develop and implement strategies to optimise workflows, reduce inefficiencies, and enhance the overall student experience.
  • Customer Success: Ensure seamless onboarding, coordination with mentoring, and issue resolution for students so that the retention percentage is high and we have at least 80% retention in each batch, every month.
  • Scheduling & Monitoring: Plan and oversee student batches and schedules, track live session attendance, and monitor live session quality.
  • Reporting & Analytics: Prepare and present operational reports, tracking key metrics such as student performance, attendance, school scores, PUMPA App usage, and session performance.
  • Cross-functional Coordination: Work hand-in-hand with the L&D, Retention, IT, and support teams to resolve issues quickly, roll out updates, and stay aligned with the organisations goals.
Required Skills & Qualifications
  • Bachelors/Master's degree in Engineering/Education/Business.
  • Demonstrated experience (2+ years) in operations management/post-sales/customer success, preferably in the EdTech industry.
  • Strong leadership, communication, analytical, and team management skills.
  • Excellent organisational and problem-solving skills.
  • Professional experience in working with CRM software and other tools related to operations management.
  • Excellent fluency in English and Tamil (spoken and written).
  • Ability to work under pressure and manage multiple priorities effectively.
  • Proficient in verbal & written communication.
Preferred Qualifications
  • Excellent communication and interpersonal skills.
  • Experienced in managing remote or hybrid teams.
  • Professional-level understanding of the Indian K12 educational landscape.
  • Demonstrated experience in developing effective operational processes for a team.
