To be the operational backbone of Sales team, ensuring all administrative, order management, and customer support activities run efficiently, accurately, and on time. Delivering high-quality custome Supply Chain, Finance, and Production.
Responsibilities
- Order Processing:
- Validate customer order, including pricing, SKU, quantity, credit status, delivery terms
- Process Sales Order (SO) in the system with 100% data accuracy
- Ensure timely release of order based on cut-off time and customer daily delivery schedules
- Customer Communication & Issue Resolution:
- Provide prompt responses to customers regarding order status, stock availability, lead time, and shipment updates
- Handle customer complaints related to delivery delays, order errors, also product issues
- Coordination with Supply Chain and Logistic:
- Confirm product availability and coordinate stock allocation
- Align delivery date and logistic planning according to customer request
- Monitor shipment execution and ensure delivery documents are aligned
- Pricing, Discount and Contract Control:
- Prepare Order Confirmation, validate prices, and ensure discounts applied follow approved schemes
- Support project or tender submissions by preparing Project Support Letter
- Maintain updated sales databases including customer master data, contract terms, pricing, and shipment records
- Prepare weekly and monthly report: forecast, sales vs target
- Credit Control Support:
- Coordinate with Finance on credit limit checks, AR aging, payment discrepancies, and overdue customers
- Ensure orders from customers with overdue payment follow approval workflow
- Support communication to customers regarding payment status and required documents
- Cross-Functional Collaboration:
- Work closely with Sales to align forecasts, customer opportunities, and delivery plans
- Support Marketing during promotional campaigns
Requirements
- S1 degree in Business Administration, Management, Marketing, Supply Chain, or related field
- Min. 1 year experience in Sales administration, Sales support, Customer Service, or Back Office operations
- Experience working with Customers or Key Accounts
- Strong proficiency in Ms. Office, especially Ms. Excel
- Familiarity with ERP system (SAP)
- Good command of English
Additional Qualification
- Advance Ms. Excel skills (Pivot, VLOOKUP, formulas)
- Strong administration and documentation control
- Ability to prepare sales monitoring dashboard
- High accuracy in processing data, pricing, and documents
- Able to coordinate information smoothly across department
- Not easily stresses when facing urgent or complex situations
- Responsive, service-oriented, and able to build trust with customers and internal teams
