FINNS Bali is seeking a Project Administrator with an engineering background to support planning, coordination, and documentation across development and maintenance projects at our Bali facilities.

Qualifications

• Min. 3 years of experience as a project administrator, civil engineer or an equivalent role.
• Experience with Microsoft Office.
• Proficient in English and Bahasa Indonesia, both spoken and written.
• Ability to work with a Project Management platform.
• Ability to manage multiple construction projects at various stages.
• Detail-oriented with focus on high-quality results.

Responsibilities

• Coordinate travel arrangements, logistics, and site access for project team members and contractors.
• Monitor project timelines and send reminders to task owners for deliverables.
• Track expenditures, process vendor invoices, and maintain budget spreadsheets.
• Maintain RAID log with risks, dependencies, and issues for review.
• Manage procurement requests and track POs from request to goods delivery.
• Onboard new project staff with system access and orientation materials.

This role plays a critical part in collaborating effectively with multidisciplinary teams, supporting the planning, coordination, and documentation of various development and maintenance projects across our facilities.

• Coordinate travel arrangements, logistics, and site access requirements for project team members and contractors.
• Monitor project timelines and send proactive reminders to task owners for upcoming deliverables and deadlines.
• Track project expenditures, process vendor invoices, and maintain budget tracking spreadsheets against allocated funds.
• Maintain the RAID log by logging new risks, dependencies, and issues for the project manager’s review.
• Manage the procurement request process, tracking purchase orders from initial request through to goods delivery.
• Onboard new project staff by setting up system access, distributing project guidelines, and organizing orientation materials.
