Responsibilities
- Handling schedules for BOD by maintaining an organized and up to date calendar.
- Coordinating executive communications, including taking calls, responding to emails, and liaising with clients and colleagues, ensuring professional and timely responses.
- Performing front desk duties such as welcoming guests, answering general inquiries, and directing calls or visitors to the appropriate parties.
- Resolving meeting conflicts efficiently while prioritizing the needs of multiple stakeholders.
- Organizing and coordinating company events, meetings, and other special projects as required.
- Managing travel arrangements and providing relevant background information in advance.
- Handling expense reports and reimbursements for executive
- Assisting in the planning and execution of executive led projects and initiatives.
- Supporting the executive team in ad hoc special projects and other administrative duties.
- Monitoring and maintaining office supplies, especially stationery (ATK), ensuring sufficient stock and timely replenishment.
- Supporting HR administrative functions as needed.
- Managing correspondence with internal departments, external partners, and government institutions in a professional and timely manner.
- Preparing and maintaining reports, documentation, and meeting minutes for management review.
Requirements
- Minimum 3 years of administrative experience supporting C-level executives.
- Bachelor’s degree in business administration, Management, or a related field.
- Proven experience as a Personal Assistant, Secretary, or similar role.
- Excellent organizational and multitasking skills with attention to detail.
- Able to write and speak English fluently.
- Excellent computer literacy, proficient in Microsoft Office and various digital applications/tools.
- Fast, accurate, neat, honest, friendly, and capable of multitasking effectively.
- Strong communication and interpersonal abilities.
- Willingness to travel when required.
- Demonstrates professionalism, integrity, and confidentiality.
