Job description

We are seeking a highly professional, discreet, and detail-oriented Personal Assistant / Secretary to work closely with the CEO. This role requires a high level of trust, strong organizational capability, and a solid financial background. The successful candidate will provide comprehensive administrative, financial, and executive support, ensuring the CEO’s daily operations run efficiently and effectively.

This is a long-term, full-time position offering stability and the opportunity to grow alongside the organization.

Key Responsibilities

Executive & Administrative Support

Manage the CEO’s daily schedule, appointments, meetings, and travel arrangements

Act as a primary point of contact between the CEO and internal/external stakeholders

Prepare correspondence, reports, presentations, and meeting materials

Organize and maintain confidential documents, records, and filing systems

Coordinate meetings, take accurate minutes, and follow up on action items

Handle sensitive and confidential information with the highest level of discretion

Assist with financial tracking, expense reports, budgeting, and basic accounting tasks

Monitor payments, invoices, and financial documentation as required

Support financial reporting and ensure accuracy of financial records

Liaise with finance, accounting, or external auditors when necessary

Assist the CEO with financial planning, analysis, and administrative oversight

Communication & Coordination

Manage professional communication via email, phone, and other channels

Draft clear, concise, and professional communications on behalf of the CEO when required

Coordinate with internal teams to ensure timely execution of tasks and projects

Follow up on deadlines, commitments, and deliverables

Qualifications & Experience

Degree or professional background in Finance, Accounting, Business Administration, or a related field (essential)

Proven experience as a Personal Assistant, Executive Assistant, or Secretary supporting senior leadership

Strong understanding of financial processes, reporting, and documentation

Excellent organizational and time-management skills

High level of integrity and ability to handle confidential information

Strong written and verbal communication skills

Highly detail-oriented and well-organized

Reliable, proactive, and able to work independently

Calm, professional, and composed under pressure

Strong problem-solving and prioritization abilities

Proficient in standard office and financial software
