A leading Indonesian technology firm is seeking an experienced Personal Assistant to manage the Chief Executive Officer's calendar and administration tasks. The ideal candidate has over 4 years of experience in a similar role, strong organisational skills, and proficiency in English and Mandarin. Responsibilities include organizing meetings, handling correspondence, and coordinating travel logistics. Manage the Chief Executive Officer (CEO)'s calendar, appointments, and travel arrangements.
Organize and coordinate internal and external meetings, including agenda preparation, minute-taking, and follow-up actions.
Handle correspondence, emails, calls, and inquiries on behalf of the Chief Executive Officer (CEO)'s.
Maintain accurate filing systems (digital and physical) for easy retrieval of information.
Track and monitor key deadlines, projects, and deliverables for the Chief Executive Officer (CEO)'s.
Support the preparation of budgets, expense claims, and financial documentation.
Serve as the liaison between the Chief Executive Officer (CEO) and department heads, staff, and external partners.
Ensure timely dissemination of information and follow-up on key decisions.
Coordinate with HR, Finance, and Operations teams for administrative matters related to the General Manager's office.
Plan and manage logistics for business trips, conferences, and corporate events attended by the General Manager.
Arrange itineraries, accommodation, and transportation as required.
Handle sensitive information with discretion and always maintain confidentiality.
Provide analytical or research support for strategic initiatives or presentations.
Anticipate the Chief Executive Officer (CEO)'s needs and proactively offer solutions.
4+ years of experience as a Personal Assistant or Executive Assistant.
Strong organisational and time management skills with the ability to multitask and prioritise effectively.
Excellent written and verbal communication skills in both English and Mandarin.
Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Proactive, discreet, and able to maintain confidentiality.
Flexible and adaptable to changing priorities and demands.
Attention to detail and a commitment to providing exceptional customer service.
