We are looking for a highly organised and adaptable Office Manager / Marketing Coordinator to support two closely related businesses. This is a central role for someone who enjoys structure, responsibility, and variety. You will sit at the crossroads of operations, people, and marketing, ensuring day-to-day workflows run smoothly while supporting the creative and marketing output of the businesses.
This role is ideal for someone who is detail-oriented, proactive, and comfortable switching between administrative, coordination, and creative support tasks.
Office management and operations responsibilities
- Manage incoming client, intern, and staff application enquiries
- Handle day-to-day communication and follow-ups in a professional manner
- Support basic HR processes including onboarding coordination, documentation, and internal tracking
- Assist with PA-style tasks such as managing calendars, meetings, and appointments for directors and teams
- Coordinate schedules across teams and projects to avoid conflicts and delays
- Maintain clear internal organisation across files, contacts, and communications
Marketing and content support responsibilities
- Capture photo and video content during client meetings, site visits, and studio activities
- Organise and label media content for easy use by the marketing team
- Work closely with the Marketing Director to support ongoing campaigns and content needs
- Assist with coordination of marketing timelines, deliverables, and approvals
- Ensure consistent flow of content between teams and platforms
Required profile and skills
- Highly organised with strong attention to detail
- Strong written and verbal communication skills
- Confident using digital tools such as Google Workspace, calendars, and messaging platforms
- Able to handle sensitive information with discretion
- Basic understanding of marketing content workflows (photo/video capture and organisation)
- Proactive, reliable, and solution-oriented
Ideal background
- Experience in office management, operations, PA, or coordination roles
- Previous exposure to marketing, content creation, or creative environments is a strong plus
- Comfortable working in a fast-paced, entrepreneurial setting
- Able to work independently while coordinating closely with multiple stakeholders
