ADMINISTRATION & FINANCE SENIOR ASSISTANT
International Fashion Brand in Denpasar is looking for an Experienced Administration & Finance Senior Assistant.
A cross‑functional senior assistant who owns day‑to‑day AP oversight, banking/treasury prep, cash‑flow reporting, documentation & compliance, and provides HR support, PA support to the CEO. Ideal for a sharp operator who’s detail‑obsessed, trustworthy, and comfortable in a fast, international fashion brand.
Key Responsibilities
1) Accounts Payable & Finance Coordination
- Oversee invoice intake and processing; match invoices to POs/deliveries and payment proofs for bookkeeping.
- Maintain the payment calendar; prepare payment batches; pre‑check before CEO/CFO approval.
- Track budgets, spending limits, and department approvals; chase missing docs; keep clean audit trails.
- Reconcile bank transactions and vendor statements; support month‑end close with the accountant.
- Coordinate between finance, operations, production, and procurement to keep documentation flowing.
2) Banking & Treasury Support
- Prepare bank transfers/payment files; liaise with platforms (e.g., Wise); track bank fees and balances.
- Maintain signatory lists, payment templates, vendor master data, and compliance folders.
- Keep a weekly payment priority list and D+1 status updates.
- Prepare cash‑flow reports & short‑term liquidity forecasts (nice‑to‑have prior experience).
- Create spending summaries and variance analyses; highlight bottlenecks and propose fixes.
- Build simple automation/templates in Google Sheets/Excel; help integrate finance tools/workflows.
3) Documentation & Compliance
- Coordinate with external accountants/tax advisors on required filings and controls.
- Keep contracts, vendor KYC, and policy docs organized and current.
4) HR Support
- Onboarding/offboarding admin, files maintenance, leave/attendance tracking.
- Prepare payroll inputs and benefit updates for HR/payroll providers; keep employee records tidy.
- Coordinate HR documents and reference checks as requested.
5) PA to CEO
- Calendar, travel, and meeting logistics; prepare briefs and follow‑ups.
- Event planning support (pop‑ups, showrooms, team events).
- Support negotiations (supplier comparisons, price tables, call notes, action items).
- Support with changing tasks (events coordinations, venues location, retailors communication etc).
Qualifications
- Min 2 years experience in finance/admin roles (retail/fashion/e-commerce a plus).
- Strong English & Bahasa Indonesia (written/spoken).
- Advanced Google Sheets/Excel, (Monday.com a plus).
- Hands on approach, and initiative mind‑set.
- Highly organized, discreet with sensitive information, deadline‑driven, proactive.
- Familiarity with Shopify/marketplace payouts and 3PL invoices (plus).
- Exposure to Indonesian finance/admin compliance processes (working alongside external accountants) (plus).
