Job summary

Sun Life Indonesia is seeking a seasoned Facilities & Operations leader to oversee workplace services, asset governance and security programs across our offices. You will manage vendor relationships, SLAs, budgeting and cost control while driving business continuity initiatives and records management in a complex financial services environment.

Qualifications

• Bachelor's degree in a related discipline is required.
• Certifications in Facility Management, BCM, PM, or Workplace Management are advantageous.
• 8–10 years of relevant experience, with 3–5 years in a managerial role.
• Experience in financial services, insurance, banking, or multinational environments is preferred.

• Ensure efficient delivery of workplace support services aligned with business needs and employee experience.
• Manage vendor relationships, contracts, SLAs and performance monitoring.
• Lead governance of physical fixed assets, lifecycle, inventory, verification, movement and disposal.
• Oversee FM-related Accounts Payable, budgeting, forecasting and cost-control initiatives.
• Coordinate Security & Resilience: access control, CCTV, BCM activities, records management and compliance.

Business Support Services

• Ensure efficient delivery of workplace support services in alignment with business needs and employee experience objectives.


• Manage vendor relationships, contract administration, performance monitoring, and service level agreements (SLAs).

Administration & Governance

• Lead governance and oversight of physical fixed assets, including asset lifecycle management, inventory control, physical verification, movement, and disposal activities.

Financial Governance

• Manage FM-related Accounts Payable activities, invoice validation, budget tracking, and payment administration.


• Support annual budgeting, forecasting, and cost‑control initiatives.


• Monitor expenditures and identify opportunities for operational efficiency and cost optimization.

Physical Security & Resilience Support

• Oversee workplace security controls, including access control systems, visitor management processes, and CCTV governance.


• Support workplace Health, Safety & Sustainability initiatives.


• Coordinate Business Continuity Management (BCM) activities, exercises, and crisis preparedness programs.


• Manage records management programs, ensuring compliance with our company policies and regulatory requirements.

• Strong functional capability is required across governance and compliance, vendor and contract management, asset management, financial administration, risk management, business continuity awareness, and process improvement.

• Professional certifications in Facility Management, Business Continuity Management, Project Management, or Workplace Management are an advantage.


• Minimum 8-10 years of relevant experience.


• Minimum 3-5 years in a managerial or supervisory capacity.


• Experience within financial services, insurance, banking, multinational corporations, or professional services environments is preferred.

Communication scope

• Internal Stakeholders: Regular interaction with Corporate and Regional Office teams through biweekly and monthly coordination meetings on health and safety, physical security, records management, and facility operations. Collaborates with department heads to understand and support business and workplace needs.


• External Stakeholders: Manages relationships with vendors and contractors for security, records storage services, courier and other facility services. Coordinates with building management, property owners, government authorities, security agencies, and emergency services for permits, certifications, compliance, and operational matters.
