Fabric Library Coordinator / Textile Sample Librarian

We are seeking a highly organized and detail-oriented individual to manage our textile hanger library and digital fabric archive. The ideal candidate possesses a strong understanding of fabrics and materials, combined with excellent data management skills and accuracy. This role supports the Merchandising, Design, and Product Development teams by ensuring all samples are properly categorized, documented, and easily accessible.

Key Responsibilities

Fabric & Material Management

Maintenance: Manage and maintain the physical fabric hanger library and sample archives.

Classification: Classify fabrics based on composition, construction, weight, finishing, usage category, and specialization.

Labeling: Ensure proper labeling, tagging, coding, and filing of all hangers and samples.

Inventory: Organize new and incoming materials from suppliers and mills.

Optimization: Maintain cleanliness, order, and storage optimization of the sample library area.

Data & Documentation

Digital Records: Create and update digital records for each fabric sample, including technical details and supplier information.

Tracking: Maintain a sample tracking system (in/out movement log) to monitor physical inventory.

Standardization: Ensure consistency of product naming conventions and categorization.

Database Management: Upload and manage fabric data in Excel / Google Sheets / PLM (if applicable).

Archiving: Appropriately archive discontinued or outdated materials.

Cross-Department Support

Internal Collaboration: Support designers, merchandisers, and sourcing teams by locating and preparing requested hangers.

R&D Coordination: Coordinate with the sample room/R&D on material usage and replacement needs.

Supplier Relations: Communicate with suppliers to retrieve missing information or additional technical details.

Requirements

Education & Experience

We are open to candidates from two primary backgrounds:

Option A: Technical Background

Diploma/Bachelor’s degree in Textile Engineering, Fashion & Textile Design, Textile Chemistry, or Product Development.

Knowledge of woven, knitted, technical fabrics, trims, GSM, and construction.

Fresh graduates are welcome; experience in fabric merchandising, textile laboratory, or garment development is an advantage.

OR

Option B: Administrative Background

Diploma/Bachelor’s degree in Office Administration, Business Administration, Management, or Accounting.

Strong interest in textiles and comfortable working with physical inventory.

Fresh graduates are welcome; experience in admin or data entry roles is an advantage.

Organization: Strong attention to detail and superior organizational skills.

Data Literacy: Competency in data entry, database management, and creating structured coding systems.

Software: Proficiency in Microsoft Excel / Google Sheets.

Independence: Ability to multitask and work with minimal supervision.

Communication: Good verbal and written communication skills.

Personality Attributes

Systematic, disciplined, and proactive.

A genuine passion for materials and product development.

Highly responsible and reliable.
