Job Title: Exhibition Project Manager/Project Director

Overview

The Exhibition Project Manager leads the full planning, execution, and delivery of exhibitions and trade shows. This role ensures every event is delivered on time, within budget, and to high operational and customer‑satisfaction standards. It requires strong coordination across vendors, venues, internal teams, visitors, and exhibitors.

Key Responsibilities
  • 1. Project Planning & Coordination

    Develop full project timelines, milestones, project plans, international coordination workflow, and budgets for the assigned exhibition.

    Work closely with Sales, Marketing, and Operations teams to align event requirements and deliverables.

    Support the creation and management of floorplans and exhibitor allocations (handled internally, not with contractors).

    Coordinate with Operations, Sales & Sponsorships, Marketing & Communications, and Business Relations teams to align event needs.

    Build and maintain relationships with government bodies, industry associations, chambers, and institutional partners.

    Coordinate approvals, endorsements, ceremonial protocols, and official involvement.

    Manage partner expectations, benefits delivery, and communication touchpoints.

    Facilitate government participation such as opening ceremonies, VIP visits, and program involvement.

  • 3. Partner & Stakeholder Management

    Develop partnership frameworks and ensure all partners receive agreed visibility and engagement opportunities.

    Coordinate conference programs, business‑matching activities, and industry‑led side events in collaboration with partners.

    Support sponsor and partner content, branding placement (working with internal ops team), and timeline tracking.

  • 4. Budgeting & Financial Control

    Track sales pacing, develop value‑led pricing and improve business‑matching strategy to ensure the event stays closely aligned to market needs.

    Track project costs, vendor invoices, and operational spending against budget.

    Approve operational expenses and recommend cost‑efficient solutions.

    Prepare post‑event financial summaries and operational reports.

  • 5. Cross‑Functional Leadership

    Collaborate closely with Marketing & Communications on show branding, visitor flow, and onsite experience.

    Collaborate with operations (who handle vendors/venue) to ensure partner and exhibitor needs are fulfilled.

    Support Sales & Sponsorships in exhibitor communication and deliverables.

    Coordinate with the business relations team on VIP protocol, government programs, and special delegations.

  • 6. Exhibitor Management

    Oversee exhibitor onboarding, documentation, guidelines, and communication.

    Manage exhibitor enquiries, booth requirements, and operational coordination internally.

    Ensure exhibitors receive clear instructions, schedules, and event updates.

    Resolve operational issues for exhibitors/visitors quickly and maintain high exhibitor/visitor satisfaction.

  • 7. Onsite Coordination & Event Delivery

    Oversee onsite activities related to partners, associations, government delegations, and exhibitor operations.

    Manage meeting room allocations, seminar programs, and side events coordinated with partners.

    Support internal teams to ensure a smooth event flow.

  • 8. Post‑Event Evaluation

    Lead post‑event operations reviews and debriefs.

    Gather feedback from exhibitors, vendors, and internal teams.

    Recommend operational improvements for future editions.

Requirements
  • Bachelor’s degree in Exhibitions/Events, Operations, Project Management, or related field.
  • 5+ years of experience in exhibition or large‑scale event operations.
  • Strong project management and multitasking skills.
  • Strong problem‑solving skills and calm under pressure.
Preferred Skills
  • Experience with international‑standard exhibition operations (e.g., RX, Informa, Messe).
  • Knowledge of safety standards, risk management, and compliance procedures.
  • Ability to manage multiple events across departments and timelines.
  • Strong interpersonal skills with a customer‑service mindset.
