A creative studio is seeking an experienced Executive and Personal Assistant to support a senior executive in managing professional and personal tasks. The role requires strong organizational skills, communication proficiency in both English and Bahasa Indonesia, and the ability to handle sensitive issues with discretion. Ideal candidates will have 5–7 years of relevant experience and a bachelor's degree in a related field.
The Executive and Personal Assistant provides comprehensive, high-level administrative, organizational, operational, and personal support to a senior executive. This role ensures maximum efficiency and effectiveness in both professional and personal aspects of the executive’s life. The position requires exceptional communication, discretion, adaptability, and the ability to anticipate needs in a fast-paced environment.
Manage calendars, emails, meetings, and business travel arrangements.
Act as primary liaison with internal teams, external clients, and partners.
Prepare agendas, minutes, presentations, and reports.
Coordinate and organize meetings, events, and company-related activities.
Support projects and initiatives, ensuring deadlines and deliverables are met.
Maintain filing systems, handle expense reporting, and coordinate with relevant departments.
Manage personal calendars, including family events and appointments.
Arrange personal and family travel, vacations, and reservations.
Handle personal errands such as shopping, gift purchasing, and correspondence.
Oversee household-related tasks and coordinate with household staff.
Ensure confidentiality and discretion in handling all personal and professional matters.
Bachelor’s degree in Business Administration, Communication, or related field (preferred).
Minimum 5–7 years’ experience as an Executive Assistant, Personal Assistant, or similar role.
Excellent communication skills in both English and Bahasa Indonesia.
Strong organizational and multitasking skills, with proven ability to prioritize effectively.
Proficiency in Microsoft Office, Microsoft Teams, Outlook and collaboration tools.
High level of discretion, professionalism, and adaptability in dynamic environments.
Strong interpersonal skills with the ability to build positive relationships at all levels.
Proactive problem-solver who can anticipate needs.
Detail-oriented and accurate in execution.
Strong time management, able to balance multiple priorities.
Professional, trustworthy, and discreet in handling sensitive matters.
Flexible and adaptable to changing needs.
