Job Description:

  • Develop and customise project specific procedures and implement the procedures and processes as required.
  • Implement project permissions in the Document Management System, managing permission changes.
  • Maintain and update configuration of document management system.
  • Maintain and manage project distribution matrices.
  • Plan and present training to project participants in all project offices.
  • Monitoring and reviewing processes to ensure compliance to standards or project procedures across all project groups.
  • Formatting and quality checking project documentation.
  • Filing project emails and media files.
  • Scanning hard copy documentation received from external parties or internal parties and registering in the Document Management System.
  • Processing project documents in the project document management systems.
  • Handover and archive project documentation.
  • Providing document management support to project participants including support to external users (bidders, vendors, contractors, consultants and clients).
  • Responding to queries (internally and externally) in a timely and professional manner.

Job Requirements:

  • You will have an excellent command of English and experience coordinating and working on projects where English is the primary language with ability to participate in teleconferences and other project communications and present information and training sessions in English.
  • Strong interpersonal skills with ability to clearly communicate to immediate team, peers, supervisors, clients, contractors, vendors, consultants and remote team members.
  • Experience on a large engineering project in document control/document management or project systems related position.
  • Experience in setting up and implementing a document management or similar system.
  • Excellent knowledge of Microsoft Office Applications, SharePoint, PDF editors, file management tools.
  • Ability to capture and manage metadata accurately and efficiently.
  • Typing speed: minimum 60 words per minute.
  • Collaborate on exciting projects to develop innovative solutions
