Job summary

Job description
Responsibility - EXIM & Customer Support
  • Customer Support & Supply Chain from A to Z from receive PO until goods delivered to Customer's door
  • Supporting Exim department or team in various capacities
  • Prepare and process import and export documentation according to customs regulations, laws, or procedures
  • Coordinating and communicating with suppliers, manufacturers, and forwarder to ensure prompt and proper movement of goods
  • Coordinate the payment of freight and duty charges to relevant parties
  • Receive PO from customer & create PO to supplier
  • Update delivery schedule, receive the goods, arrange delivery to bonded or non-bonded customer and prepare needed documents
  • Review and prepare sales & purchase agreement, create warranty letter and create project completion document (BAST)
  • Register customer & supplier master data, purchase item master data, project item master data
  • Support sales team for tracking purchase & sales data history, contract etc and ensuring all documents and data are valid
  • Scanning and filing all DO or documents that come to Sunwa
  • Responsible for backup for urgent matters for the CS & EXIM Team
  • Stock taking (monthly & yearly) and arrange stock opname schedule and ensure the actual goods match the data in the system
Responsibility - General Affair
  • Providing a variety of support services for employees and company
  • Keep all company’s permit documents, legal documents & company regulation documents secured and updated
  • Coordinate with finance team to submit LKPM report every 3 months on the OSS website
  • Handle expatriate work permit documentation such as KITAS, Visa, etc.
  • Retrieve & check fingerprint absence before submitting to HR team (monthly basis)
  • Check staff reimbursement data before submitting to accounting and finance team (monthly basis)
  • Coordinate and communicate with vendors regarding office consumption supply, car management, office boy tasks, IT problems, etc.

  • Minimum D3/S1 in any field
  • Female, maximum 32 years old
  • Familiar with shipping procedures and documents
  • Strong problem‑solving and negotiation skills
  • Disciplined, detail‑oriented, excellent organizational and time‑management skills
  • Business‑level English proficiency (ability to write & speak Japanese is a strong advantage)
  • Able to work under pressure and respond quickly to urgent matters
  • Proactive and supportive of other teams when necessary
