Purpose of Job

  • To support Procurement Manager helps maintain supplier relationships, supports the negotiation process, ensures compliance with procurement policies, and contributes to overall cost control and supply chain efficiency.
  • The Assistant Procurement Manager supports the procurement team in sourcing goods and services, managing vendor relationships, and ensuring cost-effectiveness. This role involves administrative tasks, market research, negotiating with suppliers, and maintaining procurement records to ensure timely and efficient purchasing operations.
Main Duties & Responsibilities
FINANCIAL
  • Assist in day-to-day procurement activities including issuing purchase orders and coordinating deliveries.
  • Ensure compliance with procurement policies and procedures.
  • Maintain accurate and up-to-date procurement records.
  • Help identify, evaluate, and select suppliers based on price, quality, and reliability.
  • Support the development and maintenance of strong vendor relationships.
  • Monitor supplier performance and elevate issues as needed.
  • Support the preparation and review of procurement contracts and agreements.
  • Collaborate with inventory and store teams to track stock levels and reorder supplies as necessary.
  • Monitor lead times and work to ensure timely delivery of goods and services.
  • Prepare procurement reports, supplier evaluations, and data summaries.
  • Ensure documentation is organized and accessible for audits or internal reviews.
  • Provide assistance to the Procurement Manager on strategic sourcing initiatives.
  • Assist in developing and implementing procurement strategies.
  • Source and evaluate suppliers based on price, quality, service, and reliability.
  • Obtain quotations, negotiate prices, and support contract preparation.
  • Maintain accurate procurement records, including purchase orders, supplier agreements, and reports.
  • Monitor stock levels and coordinate with inventory teams to ensure timely reordering.
  • Track orders and ensure timely delivery of goods and services.
  • Work with internal departments to understand purchasing needs and ensure compliance with company policies.
  • Resolve issues with delivery, invoicing, or quality discrepancies.
  • Assist in preparing procurement reports and performance analysis.
  • Stay updated with market trends, pricing, and industry innovations.
GENERAL
  • Giving the correct information regarding all facilities availability in the park.
  • Cooperate and maintain a good relation with superiors, staffs, vendor
  • Work closely with internal departments to understand and support the purchasing needs.
EMPLOYEE HANDLING
  • To accommodate and communicate all information from Management and staff in terms of nurturing a harmonious relation.
  • To develop a solid team by implementing / coaching up the staff.
  • Motivate the staff to increase guest & company satisfaction by implementing hands – on – management.
  • Maintain a good working atmosphere in the workspace, while keeping the staff in their awareness of good and disciplined staff.
  • Monitoring all procurement staff and giving direct correction if any behavior occurs not according to SOP.
  • Plan and conduct training to the procurement staff, if needed
Qualifications
  • Strong Communication skills, English is a must.
  • 2+ years of experience in procurement or supply chain in a similar role.
  • Knowledge of procurement processes, sourcing, and vendor management.
  • Strong communication and negotiation skills.
  • Proficient in Microsoft Office and procurement software (e.g., SAP, Oracle, or similar).
  • Extensive vendor database management
  • Detail-oriented with strong organizational and analytical abilities.
