Responsibilities
- Act as the main contact point for the customer throughout a vessel call or project duration.
- Responsible for arranging & coordinating work activities with vendors, authorities & internally with boarding officers.
- These activities include but not limited to vessel inward & outward clearance submissions, crew sign on & off approvals, crew transport arrangements to/from vessels, crew hotel/medical requirements, on/off-hire vessel survey.
- Attend Pre-Ops meetings with customer, vendors & authorities if required.
- Prior to work activities taking place, ensures that approved paperwork such as PO or work order has been provided by the customer.
- Be able to review the PO / CPA from client before Director’s signature.
- Provides the administration team, vendors & boarding officers with DA number registered under Port 360 regarding the customers work activities undertaken.
- Update the customer daily with an activity report for all work activities performed. Administration team must also be in copy to chase vendors for invoices.
- Works closely with Integrated Logistics’s (IL) logistics department, to ensure cargo operations are in sync with vessel operations taking place.
- Able to make, monitor and supervise the Daily Activity Report made by him/herself or team in order to produce an accurate data in timely manner.
- Able to make sure the invoicing turnaround is as per Service Level Agreement.
- Provide management with updated activity report for work activities which took place under assigned customer accounts.
- Upon work completion, provides administration with completed activity report for all work activities undertaken during customers stay. Must verify & ensure all vendor or authority invoices received includes DA number & costs are aligned with rates sold to the customer.
- Responsible to complete Ben Line HSEQ checklist & save completed documentation into assigned folder under SharePoint.
Qualifications
- Bachelor’s degree in business, logistics/ supply chain, engineering or relevant field
- Must have 10 years’ experience working in offshore / project logistics industry
- Must have led a team of team of 10 or more with at least 3 direct reports, with managing experience of min. 5 years
- Strong knowledge of maritime regulations, safety standards, and best practices related to port operations and cargo handling.
- Must have a good working knowledge of MS Office, Word, Excel, MS Project.
- PMP or equivalent certification preferred.
- Strong analytical and problem-solving abilities.
- Ability to work under pressure and manage multiple projects simultaneously.
- Effective leadership and team management skills.
- Excellent communication, negotiation, and interpersonal skills.
- Must be culturally astute & be able to work across multiple cultures.
