Job Description:
- Input and process incoming and outgoing goods data in the company's ERP/Inventory system.
- Prepare and archive Delivery Orders (DO), Invoices, and Tax Invoices in compliance with company policies and tax regulations.
- Coordinate with the warehouse and courier/logistics partners for scheduling product deliveries to customers.
- Prepare daily/weekly/monthly reports on deliveries, stock, and sales.
- Coordinate with the Sales team to align delivery schedules with customer requirements.
- Liaise with suppliers, logistics service providers, and other related parties to ensure smooth operations.
Qualifications
- Minimum Diploma in Administration, Accounting, or Logistics; Bachelor's degree is preferred.
- Minimum 1 year of experience in logistics or sales administration (preferably in laboratory/medical equipment distribution).
- Familiar with preparing Invoices, Delivery Orders, and Tax Invoices.
- Proficient in Microsoft Office (especially Excel) and ERP/Inventory systems.
- Understanding of logistics processes, distribution flow, and tax document management.
- Capable of preparing accurate administrative and financial reports.

Job Purpose
Responsible for handling administrative tasks related to the recruitment process, from job postings to onboarding documentation.
Job Description
- Prepare and post job vacancies.
- Assist in filtering CVs and managing candidate applications.
- Schedule interviews, tests (offline/online), and medical check-ups.
- Contact and schedule shortlisted candidates, and provide weekly reports.
- Handle candidate documents and ensure proper printing and filing.
- Schedule offline or online tests, prepare test materials, and check the tes results.
- Liaise with General Affairs, Receptionist, and Office Support regarding candidate information, room arrangements, cleanliness, and meal provision.
- Schedule, receive, and check medical check-up results.
- Manage invoice payments, including job postings, psychological tests, medical check-ups, and related reporting.
- Maintain recruitment tools, office supplies, and mobile phone credit usage.
- Submit stamp requests, monitor stamp usage, and prepare related reports.
- Prepare employment contracts, track document flow, and submit weekly or monthly reports.
- Input data and reports into internal systems related to recruitment tasks.
- Scan signed employment contracts and upload them to Google Drive for Accounting and Finance Department needed.
- Receive all incoming mail related to recruitment and check it according to the SOP.
Requirement
- Bachelor's Degree in Industrial Engineering, Administrative Management, Office Administration, or HR Management (min. GPA 3.00).
- Minimum 5 years of experience in a similar recruitment admin role (in the same company is a must).
- Proficient in Excel (intermediate), PowerPoint, Canva; knowledge of Photoshop/Corel Draw is a plus.
- Detail-oriented, proactive, organized, and enjoys administrative tasks.
- Able to work under pressure, with overtime, and meet tight deadlines.

- Working Hour: Non-Shift, Monday-Friday (8AM - 5PM).
- Willing to undergo the full recruitment process and be placed in Cakung, East Jakarta.
