Job summary

A multinational human resources firm in Jakarta Utara is seeking an HR Administrative Officer to provide comprehensive support to HR and MD Country Leads. This role requires at least 3 years of experience in HR administration, knowledge of local labor laws, and proficiency in Microsoft Office. Job Responsibilities
  • Assist the HR and MD Country Leads Department through providing effective HR and MD Country Leads administrative support.
  • Organize and implement all Personnel Information and Human Resources systems and procedures to ensure they are carried out properly, legally and effectively.
  • Maintain and update employees’ personnel files and data and ensure confidentiality.
  • Assist with administrative tasks such as handling employee insurance, BPJS claims, and organizing internal company events.
  • Administer and file Health, Medical, BPJS, and other insurance policies.
  • Handle time attendance system, including overtime temporary team in Jakarta, SC, and QRC.
  • Maintain the company Services Awards and ensure they are communicated, distributed and approved accordingly.
  • Handle purchase requests and payment requisition for HR and MD Country Leads.
  • Update monthly report of contingent worker staff, new hires, terminations, turnover, and ensure proper and updated personal data.
  • Support the preparation of data required for official employee communications, such as monthly announcements for employee birthdays, work anniversaries, condolences, and birth information.
  • Organize programs such as festive lunch or dinners, distribution of festive gifts, team building, and annual dinner parties.
  • Perform any other relevant and related duties as may be assigned.
Qualifications
  • At least 3 years experience in human resources administration in a multinational company or international environment.
  • Familiar with local labor law plus other relevant/legal regulations and current HR practices and policies.
  • Good communication skills with fluent spoken and written in English.
  • Proficient with Microsoft Office environments (Word, Excel, PowerPoint, email).
  • Good administration and negotiation skills.
  • Mature, pleasant, well-organized and self-motivated.
  • Hands‑on and willing to roll up sleeves to do the job.
  • Good interpersonal and team player skills – strong customer service oriented.
  • Ability to work independently and has good initiative.
  • Ability to solve practical problems and carry out responsibilities under general supervision.
  • High level of confidence required.
  • Must be able to see, hear, speak and write clearly to communicate with employees.
