Type : Full-time
Start : As soon as possible
Hours : 8 hours a day, Monday to Friday
Work pattern : Full-time, hybrid, Hong Kong. At least 2 office days a week, plus occasional trips to Mong Kok. Monday to Friday.
About the role
As Operations Associate, you will be responsible for the day-to-day running of the company's operations, from the production line to the customer's warehouse. It is a broad, hands-on role covering quality and compliance, suppliers and customers, shipping, and finance administration.
This role suits someone early in their career who is organised, takes ownership and wants to learn how an international medical supplies business works and scales end to end.
How we work
We use AI tools to support most of our daily work, such as drafting, document checks, data entry and reconciliation. That frees you to focus on what matters most in this business: accuracy, judgement and good relationships. The tools help you work faster; the responsibility stays with you.
What you will do
Quality and Compliance
- Coordinate third-party pre-shipment inspections, manufacturer audits, laboratory testing and batch checks, and follow up until every issue is closed
- Maintain technical files and certificates, and help keep us compliant with EU MDR, the PPE Regulation, ISO 13485 and EN 455
- Prepare for and support our annual ISO audit
- Work with our designer and manufacturers on artwork, packaging, multi-language labels and instructions for use
- Support product development: specifications, materials, sizing and packaging for the markets we serve
Suppliers and Customers
- Onboard new distributors: partnership application, documents, payment terms and first order
- Onboard and qualify new suppliers: documents, pricing structure and terms
- Support negotiations with manufacturers on price, minimum order quantities, lead times and payment terms
- Be a day-to-day contact for customers and manufacturers, and respond promptly and professionally
- Track every order from purchase order to delivery and keep all parties informed
Shipping and Logistics
- Coordinate with freight forwarders and manufacturers on shipping documents, payment schedules and delivery dates
- Check shipping documents for accuracy before goods are released
- Collect shipping documents in Mong Kok when needed
Finance and Administration
- Process supplier bills, sales invoices and payments (including Airwallex) in Zoho Books
- Prepare bank reconciliations, and support monthly closing, payroll, budgets and payment tracking
- Handle company administration: insurance renewals, government filings, registrations, mail and regulatory correspondence
- Support the Managing Director with ad-hoc coordination and projects
Process Improvement
- Learn each process end to end, keep it documented, and suggest practical ways to make it faster, simpler and more reliable, including where AI tools and automation can help
What we are looking for
- Native or near-native English, written and spoken. This is essential: you will write to European distributors, manufacturers and Hong Kong authorities on behalf of the company
- The right to work in Hong Kong. We are not able to sponsor a visa for this role
- Diploma or degree, preferably in business, supply chain, science or a related field
- 0 to 3 years of relevant experience. Fresh graduates with the right attitude are welcome to apply
- Highly organised and detail-oriented. In medical products, small mistakes matter
- Confident following up with suppliers and partners to keep deadlines and quality on track
- Comfortable with Zoho Books, Google Workspace and Microsoft Excel, with basic bookkeeping knowledge
- Already uses AI tools such as ChatGPT or Claude in work or studies, and wants to use them well
- Interested in the commercial side: pricing, margins and negotiation
- Reliable, proactive and able to manage your own workload
- Able to travel to Mong Kok when needed
Nice to have
- Working Cantonese, useful for document collection and government filings
- Experience or an internship in trading, freight, sourcing, B2B sales or accounting
- Interest in technology and/or medical devices
- Experience with automation tools, simple scripts or AI agents
What we offer
- Real responsibility from day one. You will run real parts of the business, not just support them
- The whole business, end to end. Product, quality, compliance, sourcing, logistics and finance
- Room to grow. Your scope grows as you prove yourself. There is no long queue above you
- Annual performance bonus. Linked to your performance and the company's results
- A respected international brand. A German medical name, shipped to customers in many countries
