Job summary

FortisHill Consulting client seeks a PMO Specialist/Analyst to support the PMO team across multiple IT projects. You will coordinate projects, track schedules and deliverables, and assist with risk/issue management.

You will work with project managers and stakeholders to ensure documentation, reporting, and dashboards are accurate and delivered on time, enabling informed decision making.

Qualifications

  • Experience in PMO, IT project coordination, project administration, or project support.
  • Proficient in Microsoft Office, particularly Excel, PowerPoint and Word.
  • Experience with Microsoft Project is preferred.
  • Strong organisational, analytical and problem-solving skills.
  • Excellent communication and interpersonal skills across cross-functional teams.
  • Detail-oriented with ability to manage multiple projects and priorities.
  • Fluent in Cantonese with good written English.

Responsibilities

Job description

Our client is seeking a PMO Specialist / Analyst to support the PMO team and project managers across multiple IT projects. This role will be responsible for project coordination, schedule and deliverable tracking, reporting, documentation, and risk / issue management.

The successful candidate will work closely with project managers and cross-functional stakeholders to ensure projects are properly tracked, documented, and delivered in line with agreed timelines and objectives.

Key Responsibilities
Project Coordination & PMO Support
  • Support the PMO team and project managers in planning, executing, and monitoring various IT projects.
  • Maintain and update project schedules, status reports, project documentation, and management dashboards.
  • Track project deliverables, resources, budgets, milestones, and timelines to ensure alignment with project objectives.
  • Assist project managers with day-to-day project administration and coordination activities.
  • Prepare and distribute regular project and portfolio status reports for project stakeholders and management.
  • Collect and consolidate project information from different teams to ensure reporting is accurate and up to date.
  • Assist in analysing project data and preparing management insights to support project-related decision making.
  • Maintain project dashboards and tracking tools to provide clear visibility of project progress and key actions.
Meeting & Stakeholder Coordination
  • Coordinate project meetings with internal and external stakeholders.
  • Prepare meeting agendas, document meeting minutes, and follow up on outstanding action items.
  • Track follow-up activities and ensure responsible parties provide timely updates.
  • Support communication across project teams and relevant business / technology stakeholders.
Risk, Issue & Change Management
  • Facilitate risk, issue, dependency, and change management processes across multiple projects.
  • Maintain risk and issue registers and follow up on mitigation and resolution actions.
  • Escalate significant project risks, delays, or dependencies to project managers where appropriate.
  • Support project managers in monitoring changes to scope, timeline, resources, and deliverables.
PMO Process & Documentation
  • Ensure project documentation follows established PMO standards, templates, and governance requirements.
  • Maintain accurate project records, reports, meeting minutes, and supporting documentation.
  • Participate in reviewing and improving PMO processes, tools, templates, and reporting practices.
  • Support the standardisation and continuous improvement of project management processes.
Requirements
  • Experience in PMO, IT project coordination, project administration, or project support is preferred.
  • Proficient in Microsoft Office, particularly Excel, PowerPoint, and Word.
  • Experience with project management tools such as Microsoft Project is preferred.
  • Strong organisational, analytical, and problem-solving skills.
  • Excellent communication and interpersonal skills, with the ability to work effectively across cross-functional teams.
