Job summary

Hong Kong Golf & Tennis Academy is seeking an energetic and organised Events Executive to support the Sports Development & Education team. You will lead coordination and on-site delivery of children’s events and family activities, ensuring a premium patron experience.

Role requires coordinating with coaches, venue teams and suppliers, with a focus on safety, attendance tracking and excellent communication in English and Chinese.

Qualifications

• Diploma or degree holder in Event Management, Hospitality, Sports Management, and related discipline.
• At least 2 years’ relevant experience in events, hospitality, recreation, sports, family programming, or member services.
• Experience coordinating children’s programmes, camps, sports events or family activities is strongly preferred.
• Strong organisational skills, attention to detail and confidence managing multiple events and deadlines concurrently.
• A practical, hands-on event operator who is comfortable working on weekends, public holidays and outside normal office hours when programmes require.
• Strong written and spoken English and Chinese; Mandarin is an advantage.
• Proficient in Microsoft Office; experience preparing event briefs, promotional copy or working with design/marketing teams is preferred.
• A warm, professional and member-centric communicator with genuine confidence engaging with children, parents, coaches and internal stakeholders.
• Able to work independently, anticipate operational issues and respond quickly under event-day pressure.

Responsibilities

• Plan, coordinate and execute children’s events, seasonal programmes, workshops, camps, sports activities and family engagement initiatives.
• Design programme flow, venue setup, staffing, equipment, registration, associate communications and contingency arrangements.
• Coordinate with SDE colleagues, sports coaches, Kids Zone, F&B, Rooms, Academy Experience, Security and other operational teams to deliver safe, seamless and high-quality events.
• Be present at events to manage registration, participant flow, activity transitions, parent communications, supplier coordination and issue resolution.
• Ensure activities are age-appropriate, engaging, well-supervised and aligned with HKGTA’s premium patron experience.
• Maintain accurate attendance, waitlist, feedback and post-event records; prepare concise post-event summaries with improvement recommendations.
• Monitor event supplies, equipment requirements and approved expenditure; support purchase requests and supplier coordination where required.
• Handle participant registrations, enquiries, confirmations, payments, amendments and follow-up in a professional and timely manner.
• Support event budget tracking, vendor quotations, invoices and simple reporting in accordance with Academy procedures.
• Maintain event files, checklists, risk-assessment documentation and attendance records.
• Uphold HKGTA service standards, safeguarding expectations and a calm, patron-centric approach when engaging with children, parents and patrons.
