Job Description

We are seeking a highly organized and efficient Workshop Administrator to support the smooth operation of our workshop. This role involves managing service documentation, coordinating job schedules, handling breakdown calls, and acting as a communication link between suppliers, customers, and our rental locations.

Administrative Support
  • Maintain accurate records of all workshop jobs, service history and vehicle compliance.
  • Prepare and process job cards, work orders, and service reports.
  • Handle workshop correspondence, including phone calls, emails, and internal communication.
Breakdown Call Handling
  • Act as the first point of contact for incoming breakdown calls.
  • Record all relevant details accurately, including location, issue, and asset information.
  • Prioritize and allocate breakdown jobs to technicians or mobile units as required.
  • Provide updates to customers regarding technician ETA and job progress.
Workshop Coordination
  • Schedule and monitor the progress of workshop jobs to ensure timely completion.
  • Assist with job prioritization and communicate timelines with technicians and supervisors.
  • Support resource planning, including parts availability and technician workload.
Customer & Team Communication
  • Liaise with clients for service updates, job approvals, and queries.
  • Maintain clear communication with branches and other departments.
  • Ensure professional and timely responses to all internal and external stakeholders.
Compliance & Reporting
  • Ensure all documentation complies with company policies and health & safety standards.
  • Assist with generating performance reports and maintenance logs.
  • Support audits and compliance‑related documentation as required.
Qualifications
  • Previous experience in an administrative role within a workshop, service, or technical environment.

  • Strong organizational and multitasking abilities.
  • Confident handling high‑pressure situations such as urgent breakdowns.
  • Proficient in Microsoft Office Suite and workshop/job management software.
  • High attention to detail with strong record‑keeping skills.
