In this role you'll be :

Assisting the Workplace Support Manager and being responsible for administering and maintaining a wide-range of day-to-day operations, all of which ultimately ensure the office environment fosters collaboration, creativity and high levels of morale and happiness at work.

This is a crucial role to keep our studio offices safe and engaging for our people, whilst enabling a productive and comfortable working environment. It's a fully office based role, split across our two central Guildford offices - both a short distance from the main train station.

The main responsibilities will be :
  • Conduct morning office checks on a daily basis to ensure workplace facilities (meeting rooms, kitchens and general office areas) are presentable, functional, and meet health and safety standards.
  • Handle all post and ad-hoc deliveries to ensure everything is scanned and correctly distributed across the studio, and coordinate couriers for outbound deliveries as required.
  • Administer and maintain stock control for general office items such as stationery and kitchen refreshments
  • Maintain studio Administration and manage the Facilities team email, responding to inbound enquiries, escalating or redirecting as needed.
  • Assist with the organisation, set-up and clean-up of in-studio events
  • Work together with team members to document and track assets, report potential risks, and follow security protocols throughout the entire asset lifecycle, from acquisition to safe disposal.
  • Liaise with Building Administration to maintain efficient site operations and promptly address any issues.
  • Develop and maintain relationships with suppliers and contractors and take ownership of collecting deliveries
Experience and skills that would best suit this position :
  • Experience of working in an office support / administration role (ideally within a facilities environment, but that's not essential)
  • Highly organised with the ability to multitask well and efficiently handle tasks of varying complexity.
  • Able to communicate effectively with a diverse range of people at all levels.
  • Collaborative approach to working with others, whilst equally able to work independently and self-motivate.
  • Detail-oriented, and committed to maintaining confidentiality.
  • Any experience of working within the creative industries would be great, but by no means required.
Why join us?
  • 25 Days Annual Leave (3 of which are used when we close the studio for our end of year break)
  • Private Medical Insurance (BUPA)
  • Life Assurance (6 x annual salary)
  • Salary Exchange Pension Scheme
  • Employee Assistance Programme
  • Income Protection
  • Enhanced Family Leave (maternity and paternity pay)
  • Generous staff referral scheme
