Job summary

University Hospitals Dorset NHS Foundation Trust is seeking a Workforce Systems Administrator to support ESR, HealthRoster and payroll-related queries. You will work with HR, Resourcing, Temporary Staffing and Medical Staffing to maintain smooth workforce systems and payroll processes.

The role emphasises data accuracy, issue resolution, and timely payroll submissions, with a focus on teamwork and high-quality service in a busy NHS environment.

Qualifications

  • HR or IT qualification (Foundation Certificate in HRM/Diploma) is required.
  • Experience in NHS HR/IT settings and knowledge of ESR and HR systems.
  • Ability to liaise with all levels of staff and work under pressure.
  • Strong communication, teamwork and data accuracy skills.

Responsibilities

  • Support ESR, HealthRoster and payroll-related queries for managers and staff.
  • Manage the Workforce Systems Helpdesk and provide guidance on NHS terms.
  • Ensure workforce data is accurate, validated and submitted to payroll on time.
  • Collaborate with HR, Resourcing, Temporary Staffing and Medical Staffing teams.
  • Investigate payroll queries with the external payroll provider.

As a Workforce Systems Administrator, you'll provide support for ESR, HealthRoster and payroll-related queries, working closely with managers, staff and teams across HR, Resourcing, Temporary Staffing and Medical Staffing.

This is a busy and rewarding role where you'll help manage the Workforce Systems Helpdesk, resolve queries, provide guidance on NHS terms and conditions, and contribute to workforce and HR projects.

You'll also play a key role in payroll administration, ensuring workforce data is accurate, validated and submitted in line with payroll deadlines. Working closely with our external payroll provider, you'll help investigate and resolve payroll queries, maintain data quality and support the delivery of accurate and timely pay.

We're looking for someone who enjoys problem-solving, delivers excellent customer service and thrives in a fast-paced environment. Working for our organisation

UHD are investing, developing and transforming Trust services in line with the New Hospital Programme. As part of this, some services may move site this year or next, either temporarily or permanently. Recruiting Managers will be happy to answer any service-specific questions at interview.

If a role or service relocates as part of a planned move, excess mileage will not be reimbursed. Travel from home to the new work base will be classed as a normal commute. Any other changes will be managed under Trust or national terms and conditions.
