Chadsfield Medical Practice are looking to recruit an experienced medical receptionist and administrator for our dual role of workflow processing (document management via docman) and reception cover.

We are a friendly GP Practice based in Romiley Health Centre with a great team of supportive and welcoming staff. We pride ourselves on our caring ethos and excellent teaching awards.

We are ideally looking for someone who has experience of workflow and docman but will consider applicants with GP administration experience who are willing to learn and develop their skills.

Main duties of the job
  • Document processing and workflow to GP / staff following designated protocol and guidance.
  • Clinical Coding and recording of values / data
  • Audit processes and reviews for non clinical tasks
  • Develop new processes and systems as the role requires
  • Cross cover with our other workflow administrator to ensure cover at all times
  • Reception duties - all within set hours for this role only e.g. not at the same time as the workflow hours

Chadsfield Medical Practice is a medium sized GP Practice with 3 GP Partners, salaried GP's , a nursing team and HCA plus administration staff, We are a caring, and team focused organisation with a strong teaching and research interest.

Our Practice sits within Romiley Health Centre and has good links with our allied health professionals within the NHS structure. We are part of South East Stockport PCN and share some services within the neighbourhood.

Job responsibilities

The clinical coder works within a proven framework to redirect the flow of clinical correspondence and administration work within the practice releasing GPs to spend a greater proportion of their time with patients. Up to 80 percent of the patient correspondence can be completed without input from the GP. To cover reception duties as part of the dual role.

The role involves reading, coding and actioning patient information in a timely manner and according to Practice protocols.

MAIN DUTIES AND RESPONSIBILITIES OF THE POST

Scan and receive clinical correspondence for processing

Identify relevant clinical information contained in patient correspondence

Following the agreed protocol, code the appropriate clinical information accurately on to the patient record and follow up any actions contained within the correspondence according to practice pathways

Following the agreed protocol forward necessary correspondence to the usual GP or other person who is most appropriate to receive the information

Undertake a supervised training period demonstrating the ability to acquire sufficient knowledge and expertise to ensure that clinical information is accurately and efficiently abstracted from patient case notes and relevant documents

Maintain and improve a knowledge of anatomy, physiology and medical terminology

Process and complete audits and tasks in line with the requirements of the Practice and the role

Contribute to the auditing and constructive feedback process of others

To support and act as a mentor to junior staff in connection with clinical coding

Raise any coding queries with the Lead GP or Practice Manager to ensure quality and consistency of coded information

Deal with queries relating to coding within scope of competence

Development new processes and /or protocols with support from the Lead GP, as required to ensure the role remains up to date and in line with Practice processes

Undertake reception and admin duties in line with the reception role requirements

Undertake all tasks when covering the reception desk, phones, emails and correspondence as required within the reception role

Manage incoming queries and redirect patients as required to the agreed services such as pharmacy first

Manage and process Practice emails in line with Practice protocol

Manage and process workflow tasks, EMIS tasks and Accurx requests

Recall and proactive call for patients in line with QOF, LCS and any other Practice requirements

Process new patient registrations

Attend mandatory training and staff meetings as required

Be flexible in your approach to your role and ensure the needs of the business are met to enable smooth running of the Practice

Ensure you are familiar with all Practice polices and procedures, Health and Safety, Infection Control, Information Governance and Safeguarding processes available in Legacy and GP Team Net

Ensure that your safeguarding training for adults and children is up to date

Ensure that you are actively aware of your safeguarding responsibilities and act on any concerns or highlight any issues to the lead GP / Practice Manager

Ensure you are fully up to date with Infection Control training and procedures

Ensure that your Information Governance training is up to date and that you are aware of all IG responsibilities within your role including The Caldecott Principles

Ensure that you are fully aware of your Health and Safety responsibility in line with the Practice risk assessment, any personal risk assessment and the Health and Safety at work Act:
