Job description

This position forms part of the DocumentManagement Team and is primarily based at the Collingwood site. However, thepost holder may be required to work at other organisational sites as necessaryto meet service needs.

The post holder will be responsible for accurately coding andrecording relevant clinical and administrative information into patientselectronic healthcare records using the SystmOne (S1) clinical system, inaccordance with the organisations Correspondence Management Policy and dataquality standards.

In addition to core coding responsibilities, the post holder willprovide administrative support to the multidisciplinary team, contributing tothe smooth and efficient running of services. The role also involves supportingthe management team in promoting the organisations key values and priorities,including Equality, Diversity and Inclusion (ED&I), Safety, Health,Environment and Fire (SHEF), Quality and Continuous Improvement (CI),Confidentiality, Collaborative Working, Service Delivery, and Learning andDevelopment.

The post holder may be required to undertake other reasonableduties commensurate with the role as directed by the management team.

Main duties of the job

Responsible for accurately processing, coding, and maintaining patient clinical information within the S1 system and healthcare records. Duties include handling and actioning correspondence, scanning and attaching documents, inputting and extracting data for reports, and supporting clinical staff with general administrative tasks. The role also involves performing system searches, and ensuring the workspace remains organised. A strong understanding of QoF and the importance of accurate data recording is essential.

Job responsibilities

a.Accuratelyread and extract clinical information,subsequently coding this data on S1 clinical system into the patientrecord

b.Identifyingrelevant clinical information documented in patient correspondence, codingappropriately and completing any detailed action.

c.Inputtingand extracting data as required to support practice reports.

d.Photocopyingdocumentation as required.

e.Actioningall incoming correspondence, emails and mail in a timely manner

f.Scanningpatient related documentation and attaching scanned documents to patientshealthcare records

g.Inputtingdata into patients healthcare records as necessary

h.Answeringincoming telephone calls, transferring calls or dealing with the callersrequest appropriately

i.Carryingout system searches as requested.

k.Supportingall clinical staff with general administrative tasks as requested

l. Havea good awareness of QoF and the importance of accurate information.

M. Manage and monitor the practices centralisedinbox including safeguarding referrals, MARAC information, and other sensitivecommunications, ensuring all incoming emails are reviewed, prioritised, andactioned in a timely and professional manner.

N. Triagemessages appropriately responding directly where possible, forwarding torelevant team members, or escalating urgent matters to as appropriate.

O. Ensureall communications adhere to the practices confidentiality, data protection,and professional standards.

Have a good awareness of QoF and the importanceof accurate information.
