THE ROLE
Strathberry is seeking a detail-oriented and proactive Wholesale Operations Executive to manage and streamline the end-to-end processes involved in our wholesale operations. This role will be responsible for order processing, inventory coordination, logistics support, customer communication, and cross-functional collaboration to ensure timely and accurate delivery of goods to our wholesale partners. As a growing company, we are also looking for someone who is comfortable creating, refining, and taking full ownership of operational processes to support scale and efficiency.
Please note: This is a permanent position based in London on a full-time basis. We are currently operating a hybrid working approach with a minimum of 3 fixed days required each week working from our office in London.

KEY RESPONSIBILITIES
- Order Management: Process and track wholesale ats and forward orders from receipt through to delivery, ensuring accuracy and adherence to delivery timelines. Managing and recording any order issues that arise – order cancellations/short deliveries etc. Creative thinking and problem solving to minimise cancellations. Closely working with production teams regarding delays, cancellations, production movements, shortages. Managing and updating shipping tracker for wholesale, finance and logistics use. When necessary, new vendors set-up, onboarding new portals, reviewing manuals and guidelines.
- Inventory Coordination: Collaborate with warehouse and inventory teams to monitor stock levels, allocate products, and manage replenishment needs.
- Logistics Oversight: Liaise with logistics providers and Warehouse to ensure timely shipments and resolve any transportation or customs issues.
- Consignment & SOR Management: Maintain and update consignment (SOR) trackers, monitor stock levels at partner locations, record monthly sales, and manage (RTV) processes.
- Customer Portal Management: Oversee customer portals by submitting invoices, generating shipping documents, booking delivery slots, and ensuring alignment with Strathberry’s internal shipping and documentation processes.
- EDI Onboarding: Manage the onboarding of wholesale partners into (EDI) systems when required, ensuring smooth integration and ongoing functionality.
- Customer Relationship Support: Act as a key point of contact for wholesale clients, handling operations/logistic inquiries, resolving issues, and ensuring high levels of client satisfaction.
- Sample Management: Oversee the dispatch of sample shipments and when required support the wholesale admin in executing related tasks efficiently.
- System Maintenance & Development: Maintain accurate data in current B2B systems related to orders, clients, pricing, and product availability. Represent the wholesale team in the evaluation, development, and implementation of improvements or new features for the wholesale order management system, ensuring it meets operational needs and enhances efficiency.
- Process Development & Ownership: Proactively create, document, and refine operational processes to support business growth. Take full ownership of implementing and continuously improving workflows and SOPs across the wholesale function.
- Payments: Issue proforma invoices, check packing lists, and prepare commercial invoices (CIs) in line with shipping and compliance requirements. Manage outstanding payments, chase accounts and closely work with the finance team.
- Reporting & Analysis: Maintain live tracking order system and generate regular shipping and operations reports for management review; identify operational inefficiencies and propose solutions.
- Cross-functional Collaboration: Work closely with sales, finance, marketing, and product teams to align operations with broader business goals. Help on Annual audit preparations – collating supporting emails, OCs, POs and documents. Collaborate with the Global Head of Sourcing and Supply, to review, refine, and optimise wholesale operations processes, ensuring alignment across global teams and continuous improvement in workflows.
- Compliance & Documentation: Ensure all wholesale activities comply with internal policies and regulatory requirements; manage required documentation and contracts. Maintaining a compliance manual with the logistics team. Maintaining and updating the wholesale operation manual.

ABOUT YOU
To be a star candidate for this position, you must be able to demonstrate the following skills and experience:
- 2+ years of experience in wholesale operations, supply chain.
- Strong understanding of order-to-delivery processes and logistics.
- Strong adaptability, flexibility, resourcefulness, and solution oriented.
- Proficient in MS Excel and experience with ERP systems (e.g., SAP, NetSuite, or similar).
- Excellent communication and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Detail-oriented with strong organizational and problem-solving skills.
- Fluent in spoken and written English, other languages are welcome.
Preferred Qualifications:
- Experience in a wholesale business within fashion.
- Familiarity with international trade and shipping processes. Especially US.
- Knowledge of B2B sales models and wholesale pricing structures.
