At White Rose Education, our resources are used by schools and educators across the UK and internationally. Behind every order that reaches a customer is a warehouse operation that needs to run accurately, efficiently and on time.
We're looking for a Warehouse Administrator to play a key role in making that happen.
This is a varied, hands‑on position combining warehouse administration, stock control, logistics and international shipping with practical support on the warehouse floor. One moment you could be preparing documentation for an international shipment; the next, resolving an order query, checking stock records or helping the team get orders picked, packed and out of the door.

We're looking for someone who combines strong administration skills with a practical, hands‑on approach.
You’ll need to be comfortable working between an office‑style administration environment and the warehouse floor. You'll have excellent attention to detail, strong IT skills and the confidence to communicate with colleagues, couriers and other partners to keep things moving.
You’ll ideally have experience working within a warehouse, logistics or operations environment, and you’ll be someone who takes ownership rather than waiting for someone else to spot a problem.
Experience with international shipping, customs documentation or courier platforms such as DHL, FedEx, UPS or Royal Mail International would be a real advantage – but if you have the right operational experience and are keen to develop your knowledge quickly, we’d still like to hear from you.
Most importantly, you’ll be a team player who is organised, reliable and accurate, and willing to get stuck in wherever the warehouse needs support.

Although you may not be standing in a classroom, the work you do matters. Every accurate stock record, correctly prepared international shipment and order dispatched on time helps our resources reach the teachers and children who use them.
To provide administrative support for warehouse operations - this will include stock control, facilitating the process of International shipments from organising the shipment to receiving the POD, being the point of contact for Customer Care and Schools Partnerships and completing any required documentation - while also supporting day‑to‑day warehouse activities such as picking and packing.
The role will work closely with the Customer Care and Schools Partnerships teams to ensure smooth resolution of order queries and an excellent customer experience.
To facilitate the shipping of international orders, ensuring correct documentation, courier requirements, and customs information are provided.
Maintain accurate stock records: goods in/out, adjustments, returns.
Produce dispatch notes, delivery notes, export paperwork, labels, and other documentation.
Book in domestic and international courier collections; prepare manifests and required customs forms.
Run stock reports and flag discrepancies or low stock levels.
Maintain accurate system entries across ERP/WMS and Excel tracking sheets.
Support weekly/monthly KPI reporting for warehouse operations.
Work closely with the Customer Care and Schools Partnerships team to resolve order issues, stock queries, shipping delays, or incorrect items.
Provide updates when requested to Customer Care and Schools Partnerships on the status of international shipments and tracking details.
Assist in investigating missing, damaged or incorrect orders and communicate findings back to Customer Care and Schools Partnerships.
Support positive customer experience by ensuring timely and accurate warehouse responses to queries.
Pick and pack orders accurately according to picking lists or system instructions.
Prepare parcels for UK and international couriers, ensuring correct packaging and labelling.
Assist with goods‑in checking deliveries, booking into stock and putting away.
Support regular stock counts and cycle counts.
Maintain a clean, safe working environment in line with H&S and manual‑handling guidelines.
Operate pallet trucks, scanners and other warehouse equipment (training provided if needed).
Provide cover for warehouse and admin colleagues during busy periods or holidays.
Suggest process improvements to optimise stock flow, packing methods, or admin accuracy.
Support onboarding of new staff with training on admin processes and warehouse routines.
Consistently demonstrate high standards of personal and professional conduct and maintain high standards of ethics and behaviour.
Continue personal professional development as required.
Attend staff and other meetings and participate in staff training and development events as required.
Actively engage in the performance review process.
Work flexibly across other areas of the business on different tasks when the business requires.
