Job Summary

This role requires you to have current right to work in the UK which enables you to undertake the role without need of sponsorship. 15 hrs per week (8:00 am – 16:00 pm Tuesday and Wednesday).

12 hrs per week (16:00 pm – 19:00 pm Monday, Tuesday, Wednesday, Thursday).

Role Overview

The Ward Clerk will undertake administrative work while providing reception duties for the ward/department as per standard systems and processes, to support effective patient flow. The post demands the ability to communicate at all levels with patients, relatives and medical colleagues to maintain a high standard of service.

Main Duties
  • Work from Ward/department reception as the focal point of contact for patients, visitors and colleagues.
  • Answer the telephone, deal with queries, transfer calls and take messages as needed.
  • Maintain patient administration systems, amend patient demographics, input admission, discharge, referral and transfer information and track health records to ensure current location is recorded.
  • Case note maintenance, filing paperwork and liaising with health records.
  • Keep admission and discharge book up to date and accurate.
  • Ensure daily ward list is completed and accurate.
  • Welcome visitors to the ward and provide appropriate ward information leaflets.
  • Assist with property of deceased patients by taking to Bereavement Services and collaborating with Trusts Security department.
Person Specification
Essential
  • Educated to GCSE level in English and Maths or overseas equivalent grade D or above.
  • Recent experience in a customer‑focused environment.
  • In‑depth IT and admin skills.
  • Working knowledge of data protection and confidentiality.
  • Ability to work to tight deadlines and manage conflicting priorities.
Desirable
  • RSA or equivalent in Typing.
  • ECDL or equivalent.
  • NVQ level 2 in Customer Services / Business Administration / Team Leading Experience.
  • Knowledge of Medical Terminology.
  • Previous experience in a medical, health or social care environment.
