Overview

The successful applicant will work jointly with another ward clerk and various members of the multidisciplinary team to provide clerical and administrative support to nursing and medical staff in the ward area. They will ensure the efficient management of patients’ medical records, handle telephone calls, respond to queries where possible and relay messages as needed. The role is for 30 hours a week, mainly long days but may require early and late shifts.

Responsibilities
  • Assist in the reception of patients and relatives to the unit.
  • Perform clerical duties associated with the admission, transfer and discharge of patients, including entering patient information on a computerised system and issuing relevant electronic wristband and patient identification labels.
  • Communicate with patients, visitors and colleagues by telephone, face‑to‑face or in writing to support the effective running of the unit.
  • Maintain case notes efficiently, including filing episodic clinical and nursing notes, filing investigation reports and sending them for coding.
  • Work closely with the ward coordinator to book inpatient and outpatient scans and arrange follow‑up appointments for patients when necessary.
  • Coordinate with other departments, both internal and external to the Trust (e.g., Patient Services, Community Matrons, Social Workers, Ambulance service).
  • Collect and distribute mail for patients and staff, and perform general office duties such as filing, photocopying and errand running.
  • Collaborate with members of the stroke multidisciplinary team.
