Job title: Finance and Admin Manager

Role summary: Donnington Doorstep family centre is an independent, community-based children’s centre. The Finance and Admin Manager is a member of the Senior Management Team. They will ensure that Donnington Doorstep maintains accurate, usable and appropriate financial systems for banking, payments, invoicing, recording and reporting. They will also oversee key aspects of HR, administrative procedures and policy as well as ensuring the smooth operation of the organisation.

Job location: Donnington Doorstep Family Centre

Hours: Part time up to 21 hours a week (flexible)

Contract is: Permanent

Responsibilities
  • Accounts — Manage Creditors & Debtors
  • Enter all income and expenditure onto Xero
  • Keep up to date account balances
  • Produce quarterly income and expenditure forecasts
  • Produce monthly reports as required
  • Monitor and share information about budgets and cash flow with the Senior Management Team and Treasurer
  • Coordinate the production of the Year End accounts and Annual Report
  • Perform monthly payroll and all associated tasks
  • Counting and banking of cash from donations and kitchen
  • Administration of Gift aid
  • Process HMRC submissions, payments and related issues as required
  • Assist the Director and Services Manager with tracking and reporting on grant expenditure
  • Liaise with the Director, Services Manager and Administrator regarding ordering and expenditure tracking within the Centre
  • Design and develop appropriate systems for the above tasks as required
Administration
  • Oversee HR Administration, including record-keeping and training
  • Ensure the efficient running of all office systems
  • Oversee the maintenance & day-to-day running of the building
  • Create and maintain efficient and accurate administrative systems including HR, policies, grant monitoring and accounts
  • Ensure the accurate and timely entry of statistical, monitoring and evaluation data and other project information. Prepare reports as required.
  • Management of staff and volunteers to ensure efficient phone answering, processing of enquiries and accurate taking and recording of messages
  • Ensure accurate and timely filing, organizing and updating of all Doorstep Records
  • Ensure policies are kept up to date
General tasks and responsibilities of all Doorstep staff
  • Be familiar with and apply Doorstep’s Health and Safety, Fire and First Aid procedures at all times within your work and to attend training in these areas as required.
  • Contribute to the accountability of the centre through assisting in the maintenance of agreed records including statistics, registers, risk assessment records, contracts, evaluations, accident books, financial transactions etc.
  • To be proactive in ensuring that Doorstep’s Equality, Diversity and Inclusivity policy is applied to all aspects of the work.
  • To be aware of and follow Doorstep’s Safeguarding procedures and attend regular training.
  • To attend regular staff meetings, training and supervision as required.
  • To ensure that appropriate confidentiality is maintained.

The nature of the work at Donnington Doorstep means that all staff are expected to work in a flexible way. This post is subject to funding being secured and maintained.
