Job description
About the Role

We are looking for a proactive and highly organised Transport & Materials Coordinator to oversee and manage the movement of company-owned materials and returnable packaging (such as cases, containers, pallets, or stillages) between our manufacturing site and customer locations.

This role is focused on tracking, chasing, and coordinating the return of materials and equipment used in deliveries — ensuring that all cases are accounted for and returned promptly to maintain stock levels and support continuous production and dispatch operations.

The ideal candidate will have excellent communication, planning, and data management skills, with experience in logistics coordination, manufacturing, or supply chain operations.

Key Responsibilities
Material & Case Management
  • Track and record all outbound and inbound company materials (e.g. cases, crates, pallets, stillages).
  • Maintain accurate records of materials sent to and returned from customer sites.
  • Proactively chase returns from customers, depots, and transport partners to ensure timely recovery.
  • Monitor stock levels of returnable assets and report shortages or discrepancies.
  • Coordinate with warehouse and production teams to ensure materials are available for upcoming dispatches.
Transport Coordination
  • Liaise with external hauliers, couriers, and site contacts to arrange collection and return of company materials.
  • Work closely with dispatch and logistics teams to plan efficient movement of goods and returns.
  • Update transport schedules, delivery notes, and return documentation.
  • Ensure materials are collected and returned in line with company procedures and timelines.
Administration & Reporting
  • Maintain detailed logs and databases of case movements, returns, and losses.
  • Reconcile transport and return data against delivery and stock records.
  • Produce regular reports on material usage, return rates, and outstanding items.
  • Support the accounts or production team with queries related to materials or missing cases.
  • Identify recurring issues or bottlenecks and suggest process improvements.
Communication & Coordination
  • Build strong working relationships with customers, suppliers, and internal departments.
  • Act as the main point of contact for all case return and materials-related queries.
  • Escalate missing or damaged case issues promptly and follow up until resolved.
Skills & Experience Required
  • Experience in transport coordination, materials control, logistics, or manufacturing administration.
  • Strong organisational and communication skills – able to chase, follow up, and resolve issues efficiently.
  • Good attention to detail and ability to manage multiple priorities.
  • Competent in Microsoft Office, particularly Excel, for record-keeping and reporting.
  • Experience using transport or inventory management systems (advantageous).
  • Ability to work effectively across teams and departments.
  • Proactive, reliable, and able to take ownership of tasks.
Qualifications (Preferred)
  • Relevant qualification in Logistics, Supply Chain, Business Administration, or similar.
  • Forklift or warehouse experience (advantageous but not essential).
Working Hours & Pay

Full-time role – Monday to Friday, 7:00 am – 4:30 pm. Flexibility required to meet operational demands.

Salary around £31,000 per annum.
