As a Transport Administrator based in Kingsway, you will work a 4 on 4 off shift pattern on the night shift (18:00 - 06:00), be responsible for managing and coordinating transport activities to ensure efficient and timely delivery of goods and providing exceptional customer service and support to colleagues and clients in a fast-paced and dynamic environment. You must demonstrate flexibility, adaptability, and a commitment to delivering outstanding service to our clients.
Responsibilities
- General administration duties in line with Transport legislation, company policy and procedures
- Assist with the management of vehicle defects through the VOR process
- Administration of the movement of vehicles and associated activities
- Undertake all activities in line with KPI requirements and SLAs
- Responsible for booking all drivers/vehicles into the depot
- Track and support the organisation of trailer servicing on time in accordance with procedures
- Issue correct paperwork and book out drivers from the transport department
- Conduct face‑to‑face interaction with drivers for pre‑ and de‑briefs
- Continuously monitor in‑house and third‑party management software systems for compliance with key system requirements
- Ensure compliance with all company, statutory and Health and Safety obligations
- Work closely with key operational partners including other departments, depots and customer locations
- Provide other site administration as and when required
Qualifications
- Excellent administration and organisational skills
- Effective communication skills – verbal and written
- Willingness to learn and develop, naturally curious
- Intermediate IT skills in Excel, Word and Outlook
- Outstanding attention to detail ensuring accurate records
- Ability to work to strict timescales
- Knowledge of driver legislation, Microlise, Tachomaster and consignment management software is desirable but not essential
- Team player, self‑motivated, flexible and confident
- General awareness of health and safety is essential
- Strong interpersonal skills and ability to maintain accuracy and attention to detail
- Prioritise tasks effectively and manage time efficiently to meet productivity targets and SLAs
Desired
- Previous experience in the logistics sector is desirable, but not essential
- Understanding of transport regulations and requirements
- Knowledge of transport systems such as Flexipod/WinSight, Vision or Telematics
- Proven experience dealing with maintenance suppliers to ensure fast and effective service levels
