Job summary

Whitworth Food Group in Silloth is hiring a Transport Admin Clerk on an 18 month fixed term contract to keep our operation moving. You will provide essential administrative support, handling transport documentation, records and processes accurately and on time while working with drivers, customers and colleagues to deliver a professional service.

Hours are 40 per week, Monday to Friday. The role involves processing documentation, inputting driver payroll hours, liaising with sites for PODs,

Qualifications

  • Previous administration experience, ideally in transport/logistics.
  • Proficient in Word, Excel and Outlook.
  • Excellent attention to detail and record-keeping.
  • Strong organisational and time management skills.
  • Effective written and verbal communication with drivers and customers.

Responsibilities

  • Process transport documentation, delivery paperwork and records accurately and within required timescales.
  • Input driver payroll hours and maintain attendance and payroll records.
  • Liaise with other sites to obtain, manage and file Proof of Delivery (POD) documentation.
  • Prepare and issue all transport paperwork required for next-day operations.
  • Review, verify and sign off food safety, compliance and transport-related documentation.
  • Conduct driver debriefs, ensuring all relevant information is captured and any issues are escalated appropriately.
  • Provide day-to-day administrative support to the Transport Manager and wider transport team.
  • Assist with transport planning activities and provide cover for colleagues during periods of absence.
  • Maintain accurate records, databases and filing systems in line with company procedures.
  • Communicate effectively with drivers, customers and internal departments to support efficient transport operations.
  • Ensure compliance with all company policies, transport regulations, food safety and health & safety requirements.
  • Undertake additional administrative duties as required to support the smooth running of the transport function.

About you:


  • Previous administration experience, ideally gained within a transport, logistics or distribution environment.

  • Good IT skills, including proficiency in Microsoft Office applications such as Word, Excel and Outlook.

  • Excellent attention to detail, with the ability to maintain accurate records and documentation.

  • Strong organisational and time management skills, with the ability to prioritise tasks and work to deadlines.

  • Effective written and verbal communication skills, with the confidence to liaise with drivers, customers and colleagues at all levels.

  • A proactive and reliable approach, with the ability to work independently and take ownership of tasks.

  • Flexible and adaptable, with a willingness to support the wider transport team when required.

  • Ability to remain calm and organised in a busy, fast-paced operational environment.

  • Strong problem-solving skills and a customer-focused approach.

  • A commitment to maintaining high standards of accuracy, compliance and customer service.
