Overview

The Royal Marsden NHS Foundation Trust has an international reputation for high quality patient care, education and research. Its partnership with the Institute of Cancer Research has created the largest comprehensive cancer centre in Europe.

Location and Travel

This post is based at the Fulham Road site with travel to our Sutton site where required.

Role Summary

The theatre administration role is integral to the efficient workings of Theatres, and the post holder will be required to work closely with multiple staff groups on a daily basis. The successful candidate will be enthusiastic and enjoy working in a multi‑disciplinary environment to support the delivery of a quality service. We are looking for a dependable and highly adaptable individual who is able to work independently and fit in quickly as part of a team. Excellent written and verbal communication skills and good IT skills, inclusive of word processing are essential.

Key Skills and Experience

This role is an excellent opportunity to develop your administration and co‑ordinator skills. Exceptional organisational and data entry skills are essential. Previous experience in a secretarial or administrative role in a medical or clinical setting is required. Please note that this position will not attract a work permit or visa and so only applications from individuals already free to work in the UK without restrictions will be considered.

Key Responsibilities
  • The principal role of the administrator is to work collaboratively with other administrative staff to deliver an efficient, welcoming reception service, whilst managing other essential duties.
  • Lead in the reception of patients to the Endoscopy Suite/ Theatres while being supported by the rest of the Teams.
  • Ensure efficient administration of all aspects of patient referral, admissions, discharge and bookings in Endoscopy in liaison with endoscopy suite ward nursing staff.
  • Maintain a booking system for admission and discharge of Endoscopy/ Theatres patients to the ward/department/home.
  • Manage the waiting list system to support the management team in delivering the endoscopy service within mandated timeframe and rules, in accordance with current best practice.
  • Run lists on a daily basis for outstanding histopathology reporting, print off these reports and ensure that they are made available for consultant review.
  • Be actively involved in the management of the Trust EPR and Endo base systems to ensure that patient records are accurate.
  • Provide administrative and clerical support to the rest of the Endoscopy and theatres team as required.
  • Be flexible in the approach to the delivery of administrative services in the unit and provide cover for any areas specified (ward/clinic).
  • Patient/customer care (both direct and indirect).
  • Reception of patients when covering the role as receptionist.
  • Carry out tasks in delivering and supporting indirect patient care under the supervision of a registered nurse.
  • Ensure efficient administration of all aspects of patient admission to hospital is carried out in liaison with the senior nursing staff in Endoscopy or Theatres.
  • Ensure that patients receive written/verbal communication in advance of admission to hospital with special emphasis on client care.
  • Ensure that in event of patient admission being subject to cancellation, that it is handled appropriately and sensitively.
  • Be involved in the preparation of patient discharge, in conjunction with the multidisciplinary team; where necessary, ensuring transport arrangements are in place for the patient/client.
  • Maintenance of all computerised patient administration systems.
  • Daily maintenance of HIS, updating additional sessions and vacant theatre slots as per changes in need.
  • Ensure medical records are maintained, ensuring correct documentation and results are filed correctly and promptly.
  • Ensure the weekly schedules are updated and follow up with weekly scheduling meeting report with advice from Clinical Business Manager.
  • Updating the Theatres lists promptly with clear communication to all teams.
  • Help the services to update audits documentation.
  • Collate and complete the Private Patient forms, with cost details of all the listed consumables. Liaise with senior nursing staff in respect of queries and provide timely and accurate date for the PP teams.
