  • Manage complex diaries across multiple time zones.
  • Coordinate international travel and prepare detailed itineraries.
  • Process expenses and manage travel logs including Concur.
  • Schedule internal and external meetings and activities.
  • Prepare documents in Word and PowerPoint.

Job description

A leading private equity firm is seeking an immediately available Executive Assistant to provide high-level support to senior stakeholders in a fast-paced, global environment. This is an exceptional opportunity to step into a fast-paced, global environment where you’ll play a pivotal role in keeping operations running smoothly.

Key Responsibilities
  • Manage complex diaries across multiple time zones.
  • Coordinate extensive international travel and preparing detailed itineraries
  • Processing expenses and managing travel logs (including clearing backlogs in Concur).
  • Scheduling internal and external meetings, interviews, and team activities.
  • Prepare and format documents (Word, PowerPoint).
  • Liaise with UK, EU, and U.S. offices and act as a key point of contact.
  • Assisting with events, team initiatives, and board meetings, including venue sourcing and speaker coordination.
  • Ensuring clear, professional communication and handling sensitive information with discretion.
Requirements
  • Immediate availability.
  • 5+ years’ experience as an EA within private equity, investment banking, asset management, or a fast-paced corporate setting.
  • At least 2 years’ experience directly within private equity and familiarity with deal team support.
  • Experience supporting deal teams (essential).
  • Strong organisational skills and ability to handle shifting priorities.
  • Polished communication and confident stakeholder management.
  • Advanced MS Office skills.
  • A proactive, solution-oriented, "no task too big or small" attitude
