Overview
Based in the Global Technology Centre, Bristol the Programme Support Officer will provide comprehensive operational, financial, and administrative support to the Programme Director, ensuring the effective coordination, monitoring, and reporting of all activities within the H2FLyGHT programme. The postholder will play a central role in maintaining programme governance, supporting workstream leads, and collating programme-wide information for internal and external stakeholders. This role offers hybrid working.
Responsibilities
- Programme Coordination & Reporting: Coordinate, collect, and consolidate all programme financial and operational data to support internal and external reporting requirements. Support the Programme Director in preparing periodic review materials, ensuring accurate and timely delivery of information. Act as a key liaison point for programme partners, ensuring the timely submission of required documentation and data.
- Financial Reporting & Forecasting: Establish and maintain programme-level budget structures within the Project Management Tool (Clarizen). Provide administrative oversight for budget and deliverables change management processes. Collate financial forecasts at the programme level, supporting the Programme Director with accurate projection and variance analysis.
- Schedule & Project Management Support: Support workstream leads in maintaining up-to-date schedules within Clarizen and MS Project. Oversee the upkeep of programme documentation, including risk logs, action logs, labour forecasting, and accounting tools. Ensure alignment of schedule, cost, and resource data across all programme management systems.
- Monthly Reporting: Lead the compilation and delivery of monthly programme status reports, capturing KPIs for finance, resources, risks, IP, and schedule performance. Support preparation of materials for internal programme reviews and external oversight bodies.
- Procurement & Contract Coordination: Coordinate procurement activities, including raising purchase orders, onboarding new suppliers, and tracking invoices. Support the administration of NDAs and Collaboration Agreements in line with programme requirements.
- Continuous Improvement: Identify opportunities to enhance programme reporting tools, templates, and processes. Contribute to the ongoing refinement of programme governance and control mechanisms.
Experience / Qualifications
- Experience in project support in an industrial or technology environment
- Able to provide clarity with good written and verbal communication skills
- Attention to detail and prioritization / multitasking skills
- Strong familiarity with project management and Excel software tools
- Excellent data processing and analytical skills
- Proactive and tenacious attitude to secure outcomes from a large group of stakeholders
- Desirable: Project Management Professional certification (e.g. IPMA level D /PMP CAPM/ APM FPQ / Other certification)
- Desirable: Experience working in collaborative funded projects (e.g. UKRI, Innovate UK and ATI programmes)
- Desirable: Understanding of basic project change management principles
