Job summary

VIVO Defence Services is seeking a Technical Services Coordinator to support the safe, compliant delivery of facilities management at Porton Down. Following the award of a new seven-year contract to deliver repairs, maintenance and projects across the Defence Science and Technology Laboratory (DSTL) establishments, we’re expanding our team and looking for a Technical Services Coordinator to join us at Porton Down.

This is an exciting opportunity to become a key part of our Technical Services team, supporting the safe, compliant and effective delivery of facilities management services within a high-profile Defence environment. Working closely with the Head of Technical Services, Built Estate Managers and Senior Authorised Persons, you’ll play an important role in keeping technical activity on track and ensuring the site remains safe, compliant and ready to operate.

The Role

As Technical Services Coordinator, you’ll provide vital technical and operational support across the site. You’ll coordinate compliance activity relating to building services, review inspection reports and certification, ensure statutory remedials are correctly identified and actioned, and help drive the timely close-out of corrective actions, incidents and significant site issues.

You’ll work closely with our technical administration teams to maintain accurate, auditable compliance records and ensure O&M documentation is completed and uploaded appropriately following works. You’ll also support the Senior Authorised Persons with the planning and coordination of activity under JSP 375 Safe Systems of Work, while working with specialist supply chain partners to ensure safe systems of work and safety inspections are delivered effectively.

The role also provides the opportunity to contribute to facilities projects, initiatives and continuous improvement, helping develop processes that improve service delivery, compliance and the experience of building users and our customer. You’ll liaise with DSTL end users, Facilities Managers and other key stakeholders, providing a professional and responsive service and going the extra mile whenever needed.

What You’ll Bring

Previous administration experience within a busy, customer-focused environment would be highly beneficial. You’ll be confident organising site access, coordinating and scheduling subcontractor works, maintaining accurate records and ensuring activities are planned and delivered efficiently.

Strong customer-facing and stakeholder management skills are essential, as you’ll regularly liaise with subcontractors, internal teams, site users, stakeholders and the client to coordinate requirements, resolve issues and keep everyone informed. You’ll be organised, approachable and proactive, with the ability to manage competing priorities while maintaining a professional and high-quality service.

You’ll have a good understanding of relevant Health & Safety requirements, including COSHH and RIDDOR, alongside demonstrable experience managing contractors within a maintenance or construction environment. An SMTS qualification is required, or you’ll need to be willing to work towards one.

We’re looking for someone reliable, self-motivated and organised, with excellent communication skills and the confidence to work with colleagues, contractors, customers and senior stakeholders.

Experience working with mechanical or electrical assets in a commercial or industrial environment, a Health & Safety qualification, professional membership and previous MOD experience or SC clearance would be advantageous, along with experience working with Authorised Persons and Responsible Persons across electrical, mechanical or other compliance management systems, such as Legionella (L8) or asbestos.

Due to the nature of the site, applicants must be UK Nationals, aged 18 or over, and able to obtain and retain SC clearance.
