Job description
Team & Operations Support | Perm | £33,000 - £38,000 | Hybrid working

My client is a hugely successful, boutique executive Search and Consulting firm that is about to enter a period of rapid growth. Based in slick offices in The City of London, the team is dynamic, high performance and motivated. They are looking for an organised, proactive Operations Support and Team support to join the team ASAP. This is a hands‑on role supporting the day‑to‑day running of the organisation, taking ownership of essential, high‑impact tasks across compliance, onboarding, systems and process management, and wider cross‑functional operations. You’ll also work closely with the leadership team and founders, helping ensure the business runs smoothly and effectively.

This is an excellent opportunity for someone who wants broad exposure to how a modern consultancy and executive search firm operates. Over time, you’ll take on greater responsibility, lead your own processes and projects, and develop your career within Operations as the team scales.

Each day will be varied but duties include:

Team and Leadership Support
  • Act as the go‑to person for day‑to‑day requests, helping the team stay organised and productive.
  • Provide diary management, meeting coordination, travel bookings, agenda preparation, and general administrative support to the founders and leadership.
  • Respond quickly and effectively to operational queries across contracts, compliance, and internal processes.
  • Support compliance and onboarding processes for clients and consultants.
  • Coordinate onboarding for new joiners, including systems access, contracts, hardware, and setup.
  • Assist with scheduling, logistics, note‑taking, and internal meeting coordination.
  • Help organise company events and internal initiatives.
  • Support light‑touch office management including supplies, deliveries, and workspace organisation.
Operations and Administration
  • Own recurring admin tasks such as scheduling, data entry, and information management.
  • Support internal reporting, document preparation, and file management.
  • Partner with Finance on processes including invoice tracking, expenses, credit card reconciliation, and supplier payments.
  • Manage compliance administration including records, policy updates, insurance documentation, and basic HR reporting.
  • Support the creation of internal and client‑facing marketing materials.
  • Maintain and update internal systems.
Process and Project Support
  • Assist with process and platform improvement projects to build scalable ways of working.
  • Track actions, follow up with stakeholders, and ensure deadlines are met.
  • Lead mini‑projects such as workflow improvements or introducing new suppliers.
  • Suggest operational improvements and feed ideas into the broader operations strategy.
  • Support management of tools, platforms, and IT solutions, coordinating with suppliers.
Candidate requirements
  • Experience in an administrative or business support role.
  • Strong organisational skills and a methodical approach to multitasking and prioritisation.
  • Excellent attention to detail and pride in producing high‑quality work.
  • A proactive, solutions‑oriented mindset with the ability to act independently.
  • Clear communication skills, including when managing up or working with suppliers.
  • A willingness to learn quickly, take ownership, and develop with the role.
Company perks
  • 25 days annual leave
  • Vitality Healthcare with enhanced mental health cover
  • Half‑price gym memberships
  • Life assurance
