Job summary

A leading real estate company in London is seeking an organized and efficient Administrative Assistant. You'll provide support to Asset Management Directors and handle travel arrangements, diary management, and essential administrative tasks. The ideal candidate has strong communication skills and is proficient in Microsoft Office. This role requires four days of office presence per week and offers a competitive benefits package.

The Role:
  • Provide administrative support to members of the team.

  • Provide diary management required by the team. This involves coordinating all relevant internal and external diaries and booking meeting rooms accordingly.

  • Organise travel and hotel bookings for members of the team.

  • Provide secretarial support, including filing, binding & scanning.

  • Preparing an agenda, take and produce meeting minutes as and when required.

  • Printing, binding and distribution of key departmental documents for senior meetings.

  • Preparing, printing and sending of Board papers

Salary: Competitive

The Team:
  • You will be supporting 2x Asset Management Directors. The Residential Operations Director, supporting 1 x Project Director with Building Safety Regs & Governance Project Governance as well as providing support to the Building Services & Technical Services (BSTS) Team

Location:
  • Office presence is required four days per week.
    The role is based at the Victoria Head Office.

What you will be responsible for:
  • SharePoint file management

  • Chasing resi agents to submit reports on time

  • Respond to general queries raised by both internal and external stakeholders and inform the relevant team member as appropriate.

  • Submission of expense claims for the team as required

  • Undertake any other reasonable duties as instructed.

  • Manage all aspects of the Purchase to Pay process for the Senior Leader/Managers cost centre which may include new supplier onboarding and Purchase Order processing.

  • Processing of all tenant leasing on PIM’s

  • Processing of Property CDAN’s, Electronic Transfers (TT’s)

  • Raising PO’s, receipting, chasing payment and onboarding suppliers

  • Data Entry

  • Researching documents

  • Light diary management for the BSTS Team and general team support

  • Proof reading RFP’s, preparation of standard consultants appointments and monitoring the process

Essential criteria

  • Proven organisation and administrative skills

  • Good spoken and excellent written English

  • Ability to work under pressure

  • Advanced knowledge of Microsoft Outlook, Word, Excel andPowerPoint etc

  • Clear, concise and polite telephone manner
