Overview

To provide comprehensive administrative and secretarial support to the multi-disciplinary team, including the ward manager and clinicians within Holbrook Ward.

Oxleas offers a wide range of NHS healthcare services to people in community and secure environment settings. Our services include community health care such as district nursing and speech and language therapy, care for people with learning disabilities and mental health care. Our multidisciplinary teams look after people of all ages and we work in close partnership with other parts of the NHS, local councils and the voluntary sector. We have over 4,300 staff working in hospitals, clinics, prisons, secure hospitals, and other settings across the South of England.

Responsibilities
  • Answer incoming calls and handle enquiries, ensuring messages are accurately and promptly passed on.
  • Organise meetings, take meeting minutes, and communicate effectively and professionally to a wide range of service users and professionals.
  • Undertake any other duties required to ensure the smooth running of the service.
  • Distribute/disseminate post as necessary.
  • Use IT packages including Word and Excel, Internet, Email and internal databases; prioritise and manage client enquiries in a courteous and professional manner.
  • Respond to incoming calls and deal with enquiries in accordance with management procedures; record all messages accurately and ensure messages are passed to the relevant clinician.
  • Organise visitors to the base in a professional and courteous manner and direct them to the appropriate personnel.
  • Book interpreter services as required to attend the unit.
  • Assist clinicians in troubleshooting computer issues; provide high-quality administration support to Holbrook Ward while prioritising a busy workload.
Requirements / Qualifications
  • Experience of using Rio would be an advantage, with full training provided to the successful applicant.
  • Ability to prioritise and manage a busy workload; deliver high-quality administrative support.
  • Proficiency with IT packages including Word and Excel, and basic IT skills to support clinicians.
