Job summary

RED is an expanding international M&E consultancy seeking an experienced Team Administrator for its London office. You will provide professional admin support to the project delivery team, acting as the main contact for tasks, coordinating RFPs, setting up projects, and maintaining teams channels and templates.

Role requires strong organisational and communication skills, with expertise in MS Office 365 (Word, Excel, PowerPoint, Outlook, Teams) and familiarity with

Qualifications

  • Previous experience in team secretarial/administrator support role.
  • Experience working in a busy office environment within the consultancy sector (desirable).
  • Excellent time management, multi-tasking and organisational skills.
  • Ability to prioritise workload with accuracy and attention to detail.
  • Excellent interpersonal and written communication skills.
  • Proficiency with MS Office 365 and Teams; knowledge of Salesforce, Planisware, Temis and Docusign is advantageous.

Responsibilities

  • Provide professional and effective administration support to the project delivery team.
  • Act as main point of contact for administrative tasks following project delivery process.
  • Coordinate RFPs/PQQs/Tenders and set up enquiries and projects.
  • Create project collaboration Teams channels and maintain folder structures.
  • Format specifications, reports and presentations using company templates.
  • Check QA of project documentation and correct inconsistencies.
  • Maintain project team CVs and liaise with team members.
  • Arrange internal, external and online meetings; manage room bookings and catering.
  • Reconcile corporate credit card activity monthly.
  • Archive closed project folders; arrange couriers and incoming packages.
  • Assist with expenses and timesheets; administer holiday leave for the project team.
  • Arrange domestic and international travel; prepare itineraries and insurance.
  • Support QA compliance and document filing; onboard/offboard project team members.
  • Manage project team organograms and central inbox; respond promptly.
  • Coordinate site H&S cards (CSCS, Skillcard) and PPE-related tasks.
  • Assist with engineering site activities and risk assessments; monitor booking systems.
  • Support with event coordination and CPDs; coordinate NDAs via Docusign.
  • Attend Global and Europe Admin Team meetings; provide holiday cover as needed.

We now seek an experienced Team Administrator to join our London office.

Role Responsibilities

To provide professional and effective administration support to the project delivery team in conjunction with assisting in the smooth running of projects.

Please note, your formal job title will be Team Administrator.

Act as the main point of contact for all administrative tasks following the company project delivery process

Act on delegated tasks in relation to the coordination of RFPs/PQQs/Tenders

Responsible for the setting up of all enquiries and projects following company process, and communicating the details to the project team

Creation of project collaboration Microsoft Teams channels using standard folder structure

Formatting of specifications, reports, presentations etc using company templates, and timely processing of general correspondence

Checking of project documentation to ensure QA procedures are met, raising any inconsistencies and correcting as appropriate

Responsible for the setting up and maintaining project team CVs, liaising with team members as required

Arranging internal, external and online meetings for the project team, including arranging meeting room bookings, catering as required

Reconcile corporate credit card activity on a monthly basis

Archiving of closed project and enquiry folders

Arranging couriers and receiving packages for distribution

Assist with the completion of expenses and timesheets on behalf of the project team

Administration of holiday leave for the project team

Arranging domestic and international travel, preparation of itineraries and insurance following the company travel policy

Support project QA compliance and document filing

Assistance with onboarding and offboarding of project team members

Ownership of project team organograms

Manage project team central inbox, responding to each request efficiently, and in a timely manner

Coordination of project team site H&S cards i.e. CSCS, Skillcard

Assisting with engineer site activities i.e. issuing/ordering PPE; risk assessment/method statements; monitoring company booking system

Assisting with event coordination, both internal and external including CPDs

Coordination of NDA's via Docusignfor project team, following process to align with legal team requirements

Attendance and participation at the Global and Europe Admin Team meetings

Holiday cover for other admin team members i.e. helping to cover the Office Manager in their absence

Ad hoc admin support tasks, including becoming an Admin Champion for a specific area

Role Requirements

Previous experience in team secretarial/administrator support role

Previous experience working in a busy office environment within the consultancy sector (desirable)

Possess exemplary time management, multi-tasking, and organisational skills while able to work independently

Good organisation skills

Ability to prioritise own workload

Accuracy / excellent attention to detail

Hours flexibility (able to carry out overtime at short notice)

Excellent interpersonal and communication skills both orally and written

Ability to work to tight deadlines

Excellent knowledge of Microsoft Office 365 suite including Word; PowerPoint; Excel; Outlook; Teams (essential)

Knowledge of G-Suite (desirable)

Knowledge of Salesforce, Planisware,Temisand Solar Winds ARM (desirable)

Knowledge ofDocusign(desirable)

Excellent team player

Understanding of engineering terms (desirable)

Good understanding of international working and business operations of a global consultancy (desirable)
